The Materials Science and Engineering Department (MSE) is seeking a highly motivated applicant to fill the Administrative Operations Professional I position. The selected candidate will provide support to the user service facility operations, schedule meetings, and conferences, provide HR assistance and communicate with stakeholders within and external to the organization. The candidate will maintain financial budgets, payroll, and accounting of expenditures. The selected candidate will coordinate research and teaching operations across multiple research building facilities on and off campus that include major research instrumentation facility renovation, construction, and installation.

Duties & Responsibilities
- Monitor and approve program expenditures ensuring that
budget allocations are not overspent. - Produce periodic reports, financial statements, and
records on program activities, progress, status, or other special reports
for management or outside agencies. - Prepare or assist in the preparation of proposals for
funding and/or continued funding from outside sponsors. - Submit
reimbursement requests when needed. - Interact and maintain liaison with students, faculty,
staff, and outside/community agencies in facilitating program objectives. - Oversee daily operations, determine priorities, and
answer questions concerning program goals and policy interpretation or
direct to the appropriate person to contact when unable to respond. - Develop and facilitate workshops, meetings, and
conferences, including coordinating logistics, scheduling, and participant
communications. - Compile and write communications and promotional
literature for distribution such as newsletters, brochures, or flyers, and
coordinate the process from development through printing and distribution. - Recruit program
participants, members, and volunteers utilizing the most appropriate
promotional or marketing methods. - Evaluate program effectiveness to develop improved
methods; devise evaluation methodology and implement and/or analyze
results and recommend taking appropriate action. - Review applications or other program documents
independently or in conjunction with the supervisor to determine acceptance or
make decisions pertaining to the program.
Minimum Qualifications
- Bachelor's degree or equivalent advanced learning attained through relevant experience.
- Up
to 1 year of relevant work experience required.
Preferred Qualifications
- Experience in managing service and user facility operations.
- Prior experience with UA financial systems such as Analytics.
- Prior experience with event management such as scheduling meetings, conferences, and workshops.
