Job Description

The Deputy Registrar, provides high-level oversight, supervision, and guidance to the office's administrative and professional faculty and staff.. The Deputy Registrar will oversee all internal, day-to-day aspects of the operational units within the office including graduation analysis, athletic compliance, academic governance, records, transfer services and customer support. The Deputy Registrar/Director of Operations will be joining a dedicated and highly competent team of professionals committed to student success within the Office of the University Registrar and broader Division of Enrollment Management.

Summary of Position Responsibilities:

  • Responsible for the daily internal administration of the Office of the University Registrar team and provision of prompt and accurate service to students, alumni, faculty, administration, and external constituencies.
  • Collaborate with the University Registrar, Associate and Assistant Registrars, to create efficiencies between office unit teams in order to support the University operational excellence and strategic planning goals.
  • Develop, recommend, and implement processes, procedures and systems that support office priorities, innovation and efficiencies while ensuring quality standards.
  • Oversee the compliance of educational record use, dissemination, and privacy of student information to university policies and legal requirements, including the Family Educational Rights and Privacy Act (FERPA) and other applicable laws and regulations as well as those of other regulatory agencies.
  • Oversee the effective use of systems for student information, degree audit and other systems.
  • Monitor and verify student enrollment data essential for official internal and external reporting related to academic and student records including the National Student Clearinghouse, auditors, and accreditors, as needed.
  • Maintain policies and practices and manage provisioning of data access for the University for all student records.
  • Oversee training, development, and maintenance of procedure manuals, regulations, and systems within the Registrar's office for the university community.
  • Participate in overall planning of activities within the Office of the University Registrar, developing, recommending, and implementing major policy and procedural changes.

Required Qualifications

  • A master's degree in higher education, management, or related field
  • Extensive and progressively responsible administrative experience working in a higher education setting, preferably in a University Registrar's office
  • Demonstrated experience supervising and leading administrative and professional faculty/staff
  • Proven experience managing high visibility projects with multiple university and external constituents
  • Comprehensive knowledge of the purpose, functions, and standards related to academic records and registration work on a university campus
  • Knowledge and experience to support best practices in the office functions (aligned with AACRAO standards), academic policy, student information systems, and relevant compliance issues (e.g., FERPA, Title IV)
  • Demonstrated experience in managing complex student information systems
  • Ability to lead effectively and work independently while always maintaining communication with the University Registrar
  • Strong analytical, written, verbal and interpersonal communication skills with the ability to effectively interact and build trusted relationships with diverse internal and external constituencies
  • Experience effectively managing and balancing multiple projects and initiatives simultaneously, prioritizing and successfully following through to completion

Preferred Qualifications

  • Previous work with Ellucian Banner software, CollegeNet 25Live, College Source uAchieve, NSC electronic transcript functionality, Ad Astra and/or CourseLeaf/Leepfrog products
  • Knowledge and successful utilization of data structure, maintenance, processing, and information retrieval in a student information system

Salary commensurate with experience up to a budget max of $120,000
