Job Description

The Administrative Assistant reports
directly to the Director, Alumni Operations & Strategic Initiatives and
provides direct support to the Associate Vice President for Alumni Relations in
collaboration with the Director, and is responsible for the overall workflow
and administrative activities for the Office of the Associate Vice President
for Alumni Relations as well as the Operations and Strategic Initiatives Team. The Administrative Assistant is responsible
for managing all communications and meetings of the Boston College Alumni
Association Board of Directors. This
includes planning and executing all full Board meetings throughout the course
of the academic calendar, Board Committee conference calls, video calls and any
related retreats and gatherings; assisting the Director in developing agendas
and supporting materials for all staff meetings on a monthly basis, including
those of the various Board Committees; organizes all catering, audio/visual and
logistical needs in partnership with the Program and Events team, including
assisting as needed in the coordination of travel arrangements for key
volunteers and alumni. The
Administrative Assistant manages the Associate Vice President's and the
Director of Alumni Operation and Strategic Initiatives' day to day schedules,
all University related travel, staff and various alumni communications,
correspondence and interaction with University officials, helps to support
alumni events and Signature Programs, interacting with such key university
departments as the President's Office, the University
Secretary's Office, Campus Mission and Ministry, Student Affairs, Athletics,
and Dining Services. The Administrative Assistant manages all Alumni
Office and Alumni Association telephone lines and greets visitors to the Alumni
Center in coordination with the AVP's and Director's daily meeting schedules. Other specific duties include running various
alumni constituent reports on a regular basis, submitting alumni meeting
contact reports on a regular basis, printing name tags for Alumni Association
events, providing administrative support for family programming, corporate
engagement, career programming, and alumni benefits. The administrative assistant will also support
the annual Alumni Association program planning process capturing & tracking
more than five hundred events per year.

This position involves extensive contact with high level
executive alumni volunteers as well as the office of the Senior Vice President
of University Advancement. Other key
university departments include the President's Office, the
University Secretary's Office, Campus Mission and Ministry, Student Affairs, Athletics,
Dining Services, and the Boston College Alumni Association Board of Directors. This position demands an ability to execute a
variety of tasks with precision, flexibility, and confidence while working
independently as well as with a team of nineteen who make up the Alumni
Relations team. The Administrative
Assistant will often handle confidential materials; therefore, good judgement
and discretion are required. Excellent
interpersonal and organizational skills; exceptional proofreading skills;
strong attention to detail and commitment to accuracy; superb oral and written
communication skills; good judgment and discretion with confidential materials;
an ability to handle multiple tasks, manage special projects and work
independently to meet deadlines; and a collaborative and service-oriented
attitude are all essential.

Full-Time Equivalent Hiring Range: $45,450 to $56,800;
salary commensurate with relevant experience.

Requirements

This position requires 3-5 years of
increasingly responsible administrative experience in a professional setting;
strong interpersonal and organizational skills with attention to detail and
accuracy; excellent oral and written communications skills including effective
phone communication skills; accurate typing skills; a working knowledge of
Google Suite and Windows PC, including Microsoft Office, and familiarity with
Customer Relationship Management databases; exceptional proofreading; strong attention
to detail; a commitment to accuracy; and very adept at handling multiple tasks
and working well within deadlines. Also
requires a demonstrated ability to compose a variety of strong, clearly written
materials, good judgment, discretion in handling confidential materials,
ability to work independently without close supervision, and flexibility to
work beyond the regular hours of the workday when necessary. Candidate must possess solid knowledge of
grammar and punctuation.

Requires a high school diploma,
bachelor's degree preferred. Candidates
should be highly motivated to work in a fast-paced environment that will
require some night and evening work.
