Job Description

Responsible for detailed planning and coordination of meetings, events, and activities held at the University.

Responsibilities:
  • Manages event services including reservations, scheduling, planning, service deliveries, billing and post event evaluations.
  • Develops and oversees unit budgets.
  • Develops, manages and oversees facilities and event calendars.
  • Negotiates costs and develops contracts with clients.
  • Administers insurance documents and waivers of liability.
  • Develops event-related policies and procedures and oversees reporting to University and external clients.
  • Manages assigned staff.
Additional Responsibilities:
  • Responsible for detailed planning and coordination of meetings, events, and activities held at the University.
  • Coordinate room set-up with Physical Plant, information technology (OIT), food services, University Police Department, and other campus entities required for a successful event that promotes a positive image of the University.
  • Process and coordinate all reservation requests at University facilities for non-academic use. Maintain a master events calendar.
  • Prepare information for billing, receipt of payments, and disbursing of funds to proper departments for event charges.
  • Assist in supervising student workers and event services staff as assigned in the absence of the Director, Event Services.
  • Undergo continuous training for AD ASTRA Information Systems and event planning to support the event services operations.
  • Perform other related duties as assigned.
Education and Experience:
  • Bachelors degree from an accredited institution of higher education.
  • Five or more years of relevant experience in event organization including coordinating, planning, set-up, and attention to details.
  • An equivalent combination of experience and education may be considered.
Knowledge, Skills, and Abilities:
  • High proficiency with computers.
  • Fluent in Microsoft Office Programs.
  • Ability to communicate effectively, orally and in writing.
  • Ability to interact effectively and professionally with the general public and a wide range of constituencies.
  • Ability to plan and organize work, as well as pay close attention to every detail in the event planning process.
  • Ability to work diligently and maintain up-to-date records of clients and current with requests.
  • Ability to apply policies effectively in order to identify and resolve unusual circumstances.
  • Ability to make sound judgment and independent decisions.
Other Requirements:
  • Position requires a flexible schedule to work evenings and/or weekends in order to provide administrative supervision at various events.
  • Position requires assisting with the setup and tear down of venues which may require the ability to lift a minimum of 50 pounds.

Salary: $36,512/annually
