Position Highlights
The Administrative Associate (Administrative Support Assistant III) will support and coordinate various administrative and business activities for the Associated Students of the University of Arizona and the Fraternity and Sorority Programs Offices. This role is student-facing, providing excellent service and coverage to this area. This position requires a high degree of professionalism, discretion, initiative and independent judgment.The Successful Candidate will possess the ability to problem solve, work independently and balance multiple priorities and deadlines. The incumbent will demonstrate knowledge of standard office as well as University of Arizona business practices and procedures and have the ability to communicate, verbally and in writing, effectively with tact and diplomacy with constituents of varied backgrounds.

Duties & Responsibilities
Job Duties Include:
FOR ASUA:
Maintain ASUA Student Body Presidents Calendar and Committee selection lists.
Provide Catcard and Key Access
Order office business cards, name tags and name plates
Order parking passes
Verify ASUA student enrollment and GPA
Verify all elections signatures
Wildcat Events Board and Bear Down Camp refunds
Upload position posting to Handshake system as needed.
Reconcile P-Card transactions for department 8901 & 8902
Assist with Processing of Club Appropriations allocations
Motorpool requests, p-card transactions, Club reimbursements
Prepares and submits scholarships and ASUA Administrative stipends
Account reconciliation and corrections
Process Deans Excuses
Department P-Card holder
Serves as departmental HR representative preparing and processing student hires and terminations for departments. Initiates the MVD checks as needed, e-verify and I-9 verification process.
FOR FSP:
Generate and process invoices for chapter and council dues
Monitor and respond to DOS-Greek email
Respond to chapter interest forms
Collect and monitor chapter insurance expiration
Department reimbursements and purchases
Maintain orders for Greek Heritage Park
Proofs,Customer communication,payments to vendors,maintenance
Donor reports
Maintain FSP Calendar and Council Calendars
Enter new member affiliation forms into UAccess
Order supplies as needed
Enter roster edits into UAccess twice each semester
Assist with travel authorizations and reimbursements for FSP staff and students.
Maintain scholarship information and submit scholarship awards for Greek students each spring.
Coordinate new staff and student on-line trainings and access requests with SASG/UITS.
Minimum Qualifications
- High school diploma or equivalent, or
equivalent learning attained through experience required. - Minimum of 5 years of relevant experience
(administrative support or equivalent) required.
Preferred Qualifications
- Experience with Microsoft Office suite (including Word, Excel, PowerPoint, and Outlook)
- Experience with University Systems (Uaccess Employee, Student, Edge Learning)
- Experience in higher education
