Job Description

The part time, salaried Administrative Assistant will assist The Population Health Sciences Department, of the Virginia-Maryland College of Veterinary Medicine, at Virginia Tech, in tandem with The Petersburg Healthy Options Partnerships. The Administrative Assistant will:

  • Develop and manage a system to track purchases and other expenses (overall and by venue: food aggregation center, farmers' market, mobile market sites and retail food/farm store)
  • Develop and manage a system to track sales at each market (farmers' market, mobile market sites and retail food/farm store)
  • Support development of and manage a system to track inventory (procured) and disposition (gleaned, culled, sold, etc.) at each market
  • Interact regularly with market managers and staff to ensure complete and accurate data
  • Interact regularly with food access/aggregation manager
  • Enter financial data (cash, receipts, purchases, expenditures, etc.) into financial management system
  • Enter data into and run reports from Farmer's Register, Manage My Market, online marketplace, etc.
  • Manage financial responsibilities such as receiving funds, making deposits, managing petty cash, processing invoices for payment, paying bills, processing reimbursements, etc.
  • Collect and manage financial data (procurement, revenue, expenditures, reimbursements, etc.)
  • Prepare, track and report on monthly balance sheets for each market
  • Prepare financial reports as needed
  • Track expenditures and maintain up to date budget information by funding source
  • Work with market managers and staff to collect data to document processes at each market
  • Work with market managers and staff to collect data related to CDC performance measures
  • Similar responsibilities to those listed above for PHOPs initiatives including active transportation, farm to school, healthy nutrition standards, and other PHOPs work groups

Required Qualifications

  • High school diploma or equivalent
  • Education and/or experience in using financial management systems (QuickBooks, etc.)
  • Experience with financial responsibilities such as receiving funds, making deposits, managing petty cash, processing invoices for payment, paying bills, processing reimbursements, etc.
  • Experience collecting and managing financial data (procurement, revenue, expenditures, reimbursements, etc.)
  • Excellent interpersonal and communication skills
  • Demonstrated ability to work effectively in a fast-paced environment
  • Demonstrated passion for promoting food access and health equity

Preferred Qualifications

  • Training and/or certification related to management of farmers' markets and SNAP redemption at farmers' markets
  • Experience working with agricultural financial management systems (Farmer's Register, Manage My Market, SNAP/EBT, online market management, etc.)
  • Familiarity with the Petersburg foodsystem
  • Experience in collecting data for program monitoring and evaluation, including process data
  • Experience in completing forms and reports for grant-funded initiatives and projects
  • Experience managing budgets for grant-funded initiatives and projects
