Position Highlights

This Program Coordinator position will provide support for the Wildcat Corps (AmeriCorps) program, and assist with important hiring and billing processes for over 70 members and a $790,000 yearly budget. Additionally, this position supports the efforts of our Cooperative Extension AmeriCorps program service sites. In the upcoming grant year, we anticipate about 80 UA Wildcat Corps Members will serve over 40,000 hours in 12 Arizona counties and 4 tribal communities in over 30 different local and statewide programs that support education programming to more than 25,000 people and mobilizes over 16,000 volunteers.

Duties & Responsibilities

1. Administration

  • Creates and updates departmental files, databases, and reports.
  • Record keeping, supply inventory and data entry (setting up members in the
    UA system; administering changes to system).
  • Completes, checks, and processes HR related forms and documents.
  • Responsible
    for basic employee file maintenance (e.g., background checks: arranging and
    tracking for Truescreen and Fieldprint systems; providing guidance on
    processes to the sites/members; ensuring we stay in grant compliance).

2. Program Support

  • Scheduling
    meetings and event coordination including workshops, assist with planning
    annual events.
  • Providing guidance and assisting site supervisors/members on human resource
    paperwork and processes, ensuring grant compliance.
  • Website/social media content development and updates.

3. Financial

  • Is responsible for transaction initiation, expense tracking, ongoing financial reports toleadership, and monthly account reconciliation.
  • Manages member enrollment into the University system and ensures proper payment of member stipends and correct start and end dates.

Knowledge, Skills, and Abilities (KSAs):

  • Verbal/written communication skills in English with a
    demonstrated ability to read and comprehend written/graphic and oral
  • Previous community outreach experience
  • Effective communication skills, written skills, and
    interpersonal skills.
  • Excellent organizational skills
  • Proficiency with computers and software applications (i.e.
    social media platforms, background check resources)
  • Highly proficient in Excel
  • Attention to detail
  • Ability to maintain quality, safety and efficacy standards
  • Knowledge of accounting practices and systems

Minimum Qualifications

  • High school diploma or equivalent, or equivalent learning
    attained through experience required.
  • Minimum of 5 years of relevant experience required.
  • Availability to work flex hours as needed, to include
    evenings and/or weekends for events outside of regular business hours.

Preferred Qualifications

  • Two (2) years of experience related to community programs
