Job Description

The Administrative Assistant will provide administrative support to the Chemical Engineering Department Head and Business Office. This position frequently interacts with students and faculty, and will be the first point of contact for the department. In this role, the assistant is responsible for effective calendar management, coordinating travel for departmental leadership, planning meetings, drafting agendas, meeting minutes and correspondence, event planning, answering and forwarding incoming calls, processing mail and incoming/outgoing shipments, key distribution and other routine office duties. The assistant will update, organize and maintain office records, support special projects and use discretion when working with confidential information. The successfully selected candidate will have strong organizational, communication and interpersonal skills with the ability to work in a highly professional manner with a diverse group of faculty, staff and students. It is essential to the job to possess the ability to work on multiple projects simultaneously with a strong work ethic, exceptional customer service orientation, and ability to excel in a team environment.

Required Qualifications

Demonstrated administrative support experience in an academic environment or professional office; advanced computer software skills including word processing, spreadsheets, database management systems and email/calendaring applications; demonstrated ability to work in a team environment; excellent written and verbal communication skills; ability to maintain confidentiality

Preferred Qualifications

Experience working in a higher education environment; knowledge of university policies and procedures related to travel and procurement; proficiency with institutional software such as Banner, HokieMart, and Chrome River.
