Job Description

The Department of Human Nutrition, Foods, and Exercise (HNFE) at Virginia Polytechnic Institute and State University (Virginia Tech) is seeking an individual to professionally serve as the face of the department and assist with day-to-day operations. The successful candidate will manage clerical duties for the department to include but not limited to: Providing administrative support to HNFE team (Copying, scanning, laminating, and filing documents). Serving as the face of the department by providing professional, courteous front office reception (greeting, welcoming, and directing stakeholders face-to-face, via phone, and via email). Co-organizing department events (creating promotional packets, serving as the department liaison with caterers/vendors, ordering and preparing promotional items, etc.). Sorting and distributing the department daily mail, assisting with and scheduling Federal Express (FedEx) and United Parcel Service (UPS) pick-ups, and communicating package deliveries. Reserving rooms for meetings, classes, events, and testing across campus. Providing administrative support to department committees. Organizing HNFE committee policies, members, and historical facts. Generating/updating documents, as needed, to include minutes and HNFE directory. Continuously updating the Continuity of Operations Plan (COOP) and communicate those changes to the department. Organizing, distributing, and ordering office supplies, equipment, and promotional materials. Receiving items in HokieMart in a timely manner. Actively purging/shredding documents in compliance with University policy. Ensuring cleanliness of HNFE Wallace Hall class/meeting rooms on a weekly basis. Creating HNFE bulletin boards on a regular basis and ensuring materials are organized/stored for later use. Obtaining visitor parking passes.

Required Qualifications

Associate's degree or higher in office administration, business management, secretarial sciences, or related area, or equivalent education, training, or work experience. Administrative support experience in a professional office environment. Proficiency with current office computer software such as Microsoft Word, Excel, and Outlook. Excellent interpersonal and communication skills (both written and oral). Demonstrated ability to maintain confidentiality. Provide excellent organizational skills; use independent judgment; prioritize, managing multiple tasks, and meet deadlines; accurately edit/audit work, and work independently as well as part of a team.

Preferred Qualifications

Working knowledge of University systems (Banner, HokieMart, TimeClock, etc.), policies and procedures, and business practices.
