Job Summary

The Administrative Officer is responsible for providing complex clerical, administrative, and financial systems support to the department of Anthropology and Archaeological Center faculty and staff. Maintains a current knowledge of appropriate college and university policies, processes and procedures in an effort to assure efficiency and productivity of the department. Oversees and/or participates in the coordination, control, and completion of special projects and events. This position will be responsible for designing, coordinating, and executing a wide range of marketing/communications efforts. The successful candidate will be able to maintain the website and social media platforms and increase engagement. This position will coordinate and
organizes minute-taking and follow up of meetings.


1. Handles various administrative matters regarding day-to-day operations and procedures of a University department.
2. Assists department with business planning and goal setting reporting directly to the department Programs Manager.
3.Schedules, plans and coordinates work actions of work-study staff including day-to-day department office management, such as general reception duties, collecting and distributing mail, photocopying, assisting students and other visitors, procuring office supplies, organizing materials in common areas, and ensuring that common areas are kept neat and orderly.
4. Assists with the oversight and monitoring of department purchasing and budgets. Maintains and reconciles ledgers and accounts according to generally accepted accounting principles.
5. Collects, organizes and analyzes data for specialized reports.
6. Assist with special events (lectures, colloquia, social events, conferences, retreats), including corresponding with participants, arranging travel, reserving accommodations, overseeing budgets and arranging for reimbursements, collecting and submitting information for reimbursements to speakers, arranging for technical support, and coordinating printing jobs.
7. Create content for and maintain the various department social media platforms to increase engagement.
8. Coordinates details such as purchasing activities, personnel actions, document control, travel coordination, account coding for financial transactions and overseeing the maintenance of departmental records.
9.Responsible for monitoring the effectiveness of marketing/communication tactics and adjusting communication plans as necessary.

10. May develop departmental procedures as needed.

Minimum Qualifications

Bachelor's degree in Business, Finance, or a related field, or equivalency (2 years related work experience may be substituted for 1 year of education). Three years experience that includes specific involvement in maintaining complex financial records, developing and monitoring departmental budgets and preparing related reports; and demonstrated organizational, human relation and effective communication skills.
