Position Highlights

Research Development Services (RDS) at the University of Arizona seeks a Research Development Operations Coordinator (Research Development Pro II) to provide quality support and assistance within the Research Development team. This position will be a member of the RDS Operations Team which reports to the RDS Director, Research Development Operations. This role will assist with all RDS operations support as assigned, to include: tracking and online support for the limited submissions process; contributing to external RDS communications and funding identification; office operations responsibilities; managing communities of practice; and as needed assistance and support for programming, both in-person and online. The Research Development Operations Coordinator will conduct communications with internal and external stakeholders. Successful applicants will demonstrate a history of smooth and professional communications, handling confidential information, and supporting highly effective project processes. Further, successful applicants must demonstrate a high attention to detail and capacity to organize tasks across a variety of projects. Finally, successful applicants will embody a customer-focused, service-oriented demeanor.

Duties & Responsibilities

Duties & responsibilities:

  • Day-to-day tracking of limited submissions opportunities through identification, internal competition, and close out of activities using cloud-based software.
  • Navigating and searching online resources, monitoring departmental email inbox(es), updating project management tracking software, updating drupal-based webpages, developing and maintaining other databases and reports, and updating other online tools as necessary.
  • Monitoring a department email inbox and other process monitoring as necessary.
  • Funding opportunity identification and communications using Pivot and MailChimp to disseminate communications to campus.
  • Collaboration with RDS and RII teammates on content creation for weekly newsletters for funding opportunities, limited submissions opportunities, announcements, and other communications.
  • Creation and maintenance of funding groups and newsletters within an online database.May present or assist with workshops or webinars on funding opportunities and limited submissions process.
  • RDS in-person and online programming assistance as needed.
  • Assists with RDS event logistics as needed which may include: follow-up on location arrangements and reservations, catering updates, printing and assembling attendee information and materials, follow-up with vendor contacts, day-of and on-site support, virtual event management, other support as necessary.
  • May also present workshops or webinars on RDS operations (Pivot funding, LS Process) to campus audiences.
  • Research Development office operations responsibilities including reconciliation of event Pcard transactions, monitoring departmental phone line, monitoring departmental email inbox(es) and routing messages to appropriate RDS point-of-contact.
  • Department operations contact for equipment and permit check-out, Facilities Management requests.
  • May staff the reception area and assist with shipping and receiving, ordering, stocking supplies, greeting visitors, printing and hanging building and event signage.
  • Additional duties may be assigned.

Knowledge, skills & abilities:

  • Strong oral and written communications skills and is goal, details, and deadline oriented.
  • Well-organized with excellent multi-tasking abilities.
  • Familiar with multimedia and online meeting environments including Zoom, GoToMeeting, and Skype.
  • Capacity to work early mornings, evenings, and weekends in-person and/or virtually on occasion as necessary.
  • Ability to masterfully handle multiple competing priorities with a calm and collected, customer service oriented demeanor.

Minimum Qualifications

  • Bachelor's degree Business Administration or related field or equivalent advanced learning attained through professional level experience required.
  • Minimum of 3 years of relevant work experience is required.

Preferred Qualifications

  • Experience with MS Office tools such as PowerPoint, Excel, Word, Teams.
  • Experience in research development, coordinating scientific events, and/or financial management a plus.
  • Experience with cloud-based newsletter and project management software (Mailchimp, Asana) a plus.
  • Experience with Adobe products including Photoshop a plus.
  • Project management experience a plus.
  • Experience with the research landscape at an RI university a plus.
