Position Summary

The Regional Admissions Coordinator/Partnership Development Specialist serves as a member of the Admissions team, focusing on recruiting prospective students in support of the College's strategic plan. The Regional Admissions Coordinator/Partnership Development Specialist represents Penn College, both on and off campus, to prospective students, parents, secondary school counselors and other individuals and organizations involved in the college selection process. The individual will be responsible for developing and executing effective recruitment strategies for the assigned geographic territory of southeastern Pennsylvania, southern New Jersey, and Delaware. While this position has limited on-campus responsibilities when needed, it is anticipated to be 90% remote. Should this role be needed for an on-campus responsibility, advance notice will be provided, and travel expenses covered in alignment with the College's travel reimbursement policy.

Responsibilities and Duties

Essential unless otherwise noted:
  • Participate in all aspects of the College's off-campus recruitment program.
  • Participate in all aspects of the College's on-campus recruitment program, with most responsibilities occurring remotely.
  • Develop and implement effective outreach strategies to support enrollment objectives within assigned geographic territory of southeastern Pennsylvania, southern New Jersey, and Delaware.
  • Research, propose, and coordinate opportunities to engage with prospective students in assigned geographic territory, including identifying new opportunities for specialized programs or partnerships.
  • Coordinate specialized programming for the assigned geographic territory (e.g., regional information sessions, campus bus trips, etc.).
  • Explore, recommend, and manage new initiatives to cultivate relationships with secondary school counselors, community-based organizations, and other individuals with influence in the college search process.
  • Provide complete support and follow-up to prospective students and their families via multiple modes of communication.
  • Develop and implement effective strategies to manage and drive inquiries and applicants through the admissions funnel.
  • Serve as the point of contact for specialized programs including Lenfest Scholars, Milton Hershey, and others as identified.
  • Manage an extensive travel schedule for an assigned geographic territory. This travel includes in-state and out-of-state recruitment of students and may require travel to other territories outside of assigned territory as needed.
  • Collect, monitor, and interpret data to understand assigned territory, including the planning and coordination of recruitment activities. Evaluate the effectiveness of the various approaches taken and make recommendations for adjustments where appropriate.
  • Participate in professional organizations that directly relate to the work of a regional admissions coordinator.
  • Assess applications for inactivity and suggest cancellations as appropriate.
  • Collaborate with offices campus-wide to provide information that students need to convert from accepted to enrolled.
  • Effectively use the office's constituent relationship management system (CRM), including ensuring data integrity and timeliness of data entry.
  • Design and deliver presentations to groups of prospective students, applicants, and their families both on campus and off campus.
  • Conduct tours for prospective students and parents as needed.
  • Schedule on campus visitations with prospective students and parents to inform them of admissions procedures, general financial aid, housing, academic programs, etc.
  • Assist prospective transfer students in understanding the College's external transcript evaluation process as it relates to specific Penn College majors.

  • Assist with the development and preparation of Admissions events.
  • Assist with the development, implementation, and assessment of special projects and other duties as assigned. (Marginal)
  • Develop, manage, and recommend to the Director a budget for recruitment activities within assigned territories.
  • Schedule and attend high school and CTC visits, college fairs, transfer fairs, recruitment events tailored for underrepresented/underserved students, and other recruitment-based visits and events. Including appropriate correspondence prior to and following the visit or event.
  • Actively support the College's marketing initiatives.
  • Participate in the Admissions Office social media activity.
  • Maintain working knowledge of general office procedures.
  • Maintain working knowledge of admissions policies and procedures, including special admissions requirements.
  • Recommend to the supervisor revisions to the Admissions policies and procedures as appropriate.
  • Maintain working knowledge of all guidelines related to confidentiality of student information and records (FERPA).
  • Maintain a thorough working knowledge of all aspects of the College's matriculation process beyond Admissions, to include, financial aid, placement testing, new student advising, course scheduling, bill paying, orientation, residence life, move-in, etc.
  • Provide telephone and personnel coverage as-needed during in-office and/or remote work hours. (Marginal)
  • Any incumbent who has the capacity to communicate in a language other than English will help prospective and enrolled students/parents speaking such language with any aspect of the application and enrollment process. (Marginal)

Special Job Features
  • Position consists of 90% remote work.
  • Person must reside within the Philadelphia area or be willing to relocate within a predetermined period of time.
  • Evening and weekend work is required.
  • Possession of a valid driver's license.
  • Person may be required to use personal vehicle for visitations with mileage reimbursement at the current College rate.
  • The incumbent must also have the ability to travel to the Penn College campus in Williamsport, PA as needed.
  • Person will be required to use their personal smart phone to perform their job duties while conducting College travel and would be eligible for an established stipend to offset the cost.
  • Position requires more than 50% travel that may be in or out of state during peak recruitment periods
  • Some nighttime driving required.
  • State Police, Child Line, and FBI fingerprint clearances under the Pennsylvania Child Protective Services Law (CPSL) required before employment can begin.

  • Employees who provide student instruction will develop and maintain proficiency in the effective pedagogical use of current and future instructional technologies, including but not limited to learning management systems, media, instructional software, and connectivity devices. As such, are required to use the following elements of the Learning Management System (LMS): Upload all syllabi, timely use of the grade feature, maintain attendance records, and collection of digital student work and distribution of digital course materials.
Pay Rate / Salary: Commensurate with credentials submitted as applied to the College's Administrative, Professional and Technical Staff Salary System.
