Job Description

Provide high quality direction for and assistance with the Health Professions Advising (HPA) program. Serves on and supports team of three people. HPA program serves 1,800-3,000 students and alumni interested in applying to graduate health professional schools in areas such as dentistry, medicine, pharmacy, veterinary medicine, occupational and physical therapy and other graduate health programs. Professionally and courteously work with the public who interact with the HPA program, via phone calls, emails, and in person. Maintain systems that organize paper and electronic credentials into formal files, arrange evaluation committee interviews for students with faculty and advisors, assist with scheduling speakers and panelists, travel arrangements, meetings, and appointments. Provide direct support to the Director of HPA. Provide project support for and coordinate administration of program events with the Assistant Director of HPA. Work with confidential student information. Conduct surveys, run reports, and write reports regularly. Provide administrative support for the "Careers in Medicine" course taught by the HPA program. Manage overall process for administration of the Health Professions Evaluation Committee interviews. Provide a welcoming and open reception for students, faculty, and others who use HPA services.

Required Qualifications

-Demonstrated excellent administrative support experience in a fast-paced, detail oriented, professional environment.
-Demonstrated strong customer service philosophy and skills.
-Demonstrated excellent communication skills with previous experience communicating warmly, clearly, effectively, and diplomatically with diverse constituencies in a welcoming manner.
-Demonstrated excellent organizational experience successfully creating, managing and completing action items in a highly accurate and timely manner as part of larger project goals.
-Demonstrated excellent interpersonal skills with previous experience establishing and maintaining collaborative and productive working relationships.
-Demonstrated experience managing multiple projects while responsive to meeting the demands of time sensitive, short term tasks.
-Demonstrated previous experience in developing, interpreting and implementing a variety of complex policies and procedures and handling changing priorities seamlessly and effectively, both independently with minimal supervision and as a productive, cooperative team member.
-Demonstrated proficiency in Microsoft Office Suite or similar software in order to organize and manipulate data and information.

Preferred Qualifications

-Working knowledge of Banner, Canvas, Qualtrics, Timeclock, Adobe, and Virginia Tech policies and procedures.
-Previous experience working in an academic environment.
-Previous experience working with Sharepoint or other shared electronic file systems.
-Previous experience providing accurate, timely information to undergraduate/graduate student populations.
-Demonstrated previous experience conducting surveys, analyzing data, and writing summary reports, as well as composing professional correspondence.
-Demonstrated previous experience working with confidential information and records.
-Previous experience coordinating multiple activities such as managing calendars, maintaining confidential records, and files.
-Demonstrated experience coordinating the work of others.
-Previous experience taking initiative to gather relevant and timely information on processes and procedures that are updated or change from year to year.
-Previous experience with planning and coordinating educational events for small and large groups.
-Previous experience successfully managing projects in addition to daily/weekly routines.

-Previous receptionist experience in a professional or academic setting.
