Position Highlights

Financial Services seeks a full time Accounts Payable Specialist II to perform the daily activities and functions of the Accounts Payable, Travel, and PCard area to ensure compliance and integrity of the Financial Services unit. The primary function of this incumbent will be accounts payable with the secondary in travel/PCard. This position requires a conscientious individual who displays a high degree of professionalism and integrity and possesses skills in setting priorities while managing a wide variety of assignments with minimal supervision.

Duties & Responsibilities

  • Responsible for all aspects of the Accounts Payable, Travel, and PCard processes including payment review, approval, funding, receipt verification, tax withholding/reporting, and receiving confirmation.
  • Oversee the approval process of financial documents inclusive of payments to domestic/international vendors, employees, students, and Designated Campus Colleagues via Vendor requests, Purchase Orders, and Disbursement Vouchers using various University systems.
  • Maintain electronic files of financial documents within an imaging system and apply appropriate coding for easy retrieval that support audit purposes and institutional record retention.
  • Responsible for institutional accounting of sales/use tax and 1099 MISC and NEC tax reporting including maintaining W9, W8, and ICON tax documentation.
  • Responsible for stop payments, reissuance of payments, ensuring all discounts offered to the University are taken appropriately, maintaining spreadsheets and accurate audit reporting documentation.
  • Research and resolve problems with outstanding vendor statements/invoices and credits balances utilizing UAccess Financials and UAccess Analytics.
  • Ensure financial documents comply with Federal, State, and University of Arizona policies and procedures to ensure compliance.
  • Responsible for testing systems for upgrades, enhancements, and streamlining processes and provide internal and external training as needed.
  • Cross train with other areas within Accounts Payable to maintain current workflow of financial documents.
  • Provide impeccable customer services to faculty, staff, students, and the public.
  • Organize work to meet deadlines and assist with other areas at peak times.
  • Work closely in a team environment, independently, as priorities change rapidly.
  • Other duties as assigned by management.

Knowledge, Skills, and Abilities:

  • Excellent organization and time management.

Minimum Qualifications

  • Three years of increasingly responsible office/clerical experience, which includes six months in a directly related function; OR, any equivalent combination of experience, training and/or education.
  • High school diploma or equivalent, or equivalent learning attained through experience required.
  • Working experience in payment policies and procedures.
  • Data entry experience and experience maintaining attention to detail and repetitive work assignments.
  • Experience with Microsoft Office 365 including Word, Excel, and TEAMS.

Preferred Qualifications

  • Associates degree in Accounting, Business, Public Administration, or a related function which includes accounting course work AND one year progressively responsible experience in a directly related function; OR,
  • Three years progressively responsible experience in a directly related function which includes a broad exposure to all areas of accounts payable and accounting principles, practices, and procedures.
  • Experience with University of Arizona systems such as UAccess Financials, UAccess Employee, and UAccess Analytics, including knowledge of university policies and procedures.
