Job Description

Reporting to the Plans Library Coordinator, the primary role of this position is to assist with maintaining architectural record documents in an organized and efficient manner in accordance with university and state standards. The Office Assistant processes hard copy and digital record documents submitted by various departments and other sources, to ensure compliance as mandated rules and regulations.

Additionally, the Office Assistant helps customers in locating records in the digital repository and with printing and copying requested materials.

This position is a temporary role that is likely to turn into a year round wage role. Schedule will be roughly 32 hours a week to maintain a part-time status.

Required Qualifications

  • Records management experience with digital document management systems.
  • Demonstrated experience working with documentation related to construction, engineering or architecture.
  • Demonstrated customer service experience.
  • Proficient skills with Microsoft Office Suite and Adobe products such as Adobe Acrobat Pro.
  • Must have the ability to work independently with minimal supervision, set priorities, and engage in several projects simultaneously.
  • Must have strong communication and interpersonal skills, and work well in a team environment.
  • Must have a valid driver's license.

Preferred Qualifications

  • Associates degree in Business or Office Administration, and/or recent experience in a document management related field.
  • Demonstrated experience working with Document Management Software similar to Laserfiche.
  • Experience working with a variety of office equipment, including wide format scanners/printers.

$16 - $18 per hour

Additional Information

  • Work is primarily performed in an office setting with considerable sitting and standing, with occasional bending, stooping, reaching, pushing and pulling.
  • Must be able to safely move and handle up to 50 pounds to change paper rolls for wide format printers and for loading and unloading storage containers kept at offsite warehouse.
  • Repetitive hand movement for computer keyboarding.
  • Must have a criminal background check
  • Must have a driver's license check
  • Must have an acceptable and safe driving record
  • May be requested to attend various meetings on and off campus as needed.

The successful candidate will be required to have a criminal conviction check.
