Position Highlights

This position coordinates and facilitates activities and functions for the College of Education's (COE) development office as well as building a strong network of alumni and friends to support the college. This position reports to the College of Education Director of Development and works closely with the COE's staff/faculty and Philanthropy and Alumni Engagement (PAE) Program team members. This position requires a high degree of professionalism, discretion, initiative and organization; accuracy and attention to detail; use of good judgment; an ability to set priorities and handle multiple projects autonomously, with minimal supervision when given general expectations. It also requires excellent communication and interpersonal skills, and a high degree of computer proficiency.

Duties & Responsibilities

Development & Alumni Events

  • Develop and execute 8-10 large-scale, annual College of Education (COE) events including convocation, scholarship breakfast, spring donor celebration, and Homecoming, in addition to smaller special events and receptions
  • Identify invitees, create and send digital and hard copy invitations, manage RSVPs
  • Work with vendors to secure venues, equipment, decor, catering, and bartending
  • Develop event schedules and draft program scripts
  • Coordinate event volunteers and committees

Administrative & Operations Support

  • Scheduling/calendaring
  • Gift transmittals
  • List production: weekly gift list, constituent and fund lists
  • Acknowledgement letters/cards
  • Purchasing card reconciliation
  • Process Reimbursements, payments/gift disbursements
  • Room reservations
  • Project account establishment requests
  • Fund transfers
  • Assist with budget development and management
  • Gift agreement/commitment paperwork routing
  • Lynx (CRM) entry (events, contact information updates)
  • Swag orders (MarComm branding compliance)
  • Manage departmental electronic and hard copy files
  • Prepare meeting minutes as needed
  • Serve as liaison for UA Foundation (UAF) Leadership team admins

Scholarships

  • Manage COE scholarships
  • Develop scholarship timelines, policies, and procedures
  • Add new scholarships and maintain existing scholarships in Scholarship Universe
  • Coordinate with COE MarComm, Recruitment, and Student Services to inform students of application and award cycle
  • Review applications and prepare award recommendations
  • Work with COE departments on nominations and selections
  • Work with UAF Scholarship Office and COE Business Office on award amounts
  • Award scholarships in Scholarship Universe and UAccess
  • Facilitate student thank you letter process
  • Supervise student worker(s)
  • Attend UArizona Event Resource Group (ERG) meetings
  • Attend UA Foundation (UAF)/Philanthropy & Alumni Engagement (PAE) staff meetings
  • Attend UAF Stewardship Forum meetings
  • Attend COE staff meetings
  • Attend recurring COE Development & Alumni Relations Office team meetings and meetings with the Director of Development/supervisor
  • Ability to work occasional weekends and evenings dependent on workload or college events
  • Other duties as assigned

Minimum Qualifications

  • Bachelor's degree or equivalent advanced learning attained through professional level experience required.
  • Minimum of 1 year of relevant work experience required.

Preferred Qualifications

  • Bachelor's Degree
  • College or foundation development experience
  • Previous experience working with non-profit organizations and/or higher education
  • Experience with Blackbaud CRM or similar donor databases and Financial Edge application
  • Experience with UA and UAFoundation policies and guidelines
