Position Highlights

The Office of Information Technology Services (ITS) at the College of Medicine-Tucson (COM-T) provides strategic IT solutions and collaborative innovation to the College of Medicine. The IT Office Support Manager reports to Assistant Dean, Information Technology Services, supporting operations of our programs and services by providing a wide range of administrative and business tasks. Primary responsibilities focus on processing and documenting computing hardware & software purchases for the College; managing software licenses; liaison with HR for recruitment and personnel affairs; coordinating events; assisting management of student employees; updating the COM IT website, etc.

Duties & Responsibilities

  • Manage and inventory software licenses to ensure they are purchased or renewed timely and accurately; provide oversight for UA inventory and records retention (archiving)process for the department.
  • Communicate with department chairs and business managers on annual asset reports and equipment refresh plans.
  • Oversee the procurement of equipment and supplies including processing, purchasing, receiving, reconciling, and monitoring all COM-IT expenditures approved by Assistant Dean as well as all IT-related expenditures upon approval by unit business managers and other authorized personnel.
  • Act as financial accounting and P-Card liaison including reviewing and approving P-Card transactions in a timely manner; reconciling all department accounts monthly; managing budgets; approving purchase orders; managing expenses for professional development; developing and establishing procedures for departmental daily operations according to policies and procedures established by the university and outside agencies.
  • Utilize UAccess Analytics, Financials, Budget, Employee Manager Self Service and Microsoft Office applications to prepare and produce ad hoc reports and reports for special projects.
  • Manage COM-IT scheduling and act as payroll coordinator-approving time submitted by COM-IT staff; manage COM-IT business office staff; manage and provide administrative support for recruitment efforts.
  • Act as liaison with internal and external groups/offices.
  • Serve as staff resource person; provide oversight and management of the hiring process; on-board/off-board staff members and student employees; prepare, process and track immigration procedures and paperwork for international employees who need visa and sponsorship support.
  • Participate in decision-making discussions related to personnel matters such as: hiring, evaluation, promotions, and terminations of employees.
  • Assist with the design and implementation of best practice procedures to ensure separation of duties, confidentiality, security, compliance, audit-able record keeping, and records management.
  • Draft and suggest office policies, procedures, and schedules, and keep track of the daily work of student employees.
  • Implement appropriate internal controls and effective business practices for the department.
  • Address specific operational issues and develops recommendations and action plans towards their resolution.
  • Manage the Prometrics testing center.
  • Order and dispense office supplies.
  • Maintain COM-IT scheduling and event calendars.
  • Develop and write communications such as COM IT newsletter, promotional materials, public communication, and other printed/online materials while maintaining a high level of confidentiality and professionalism; manage and update content for COM-IT website.
  • Gather, compile, verify and prepare information for leadership use in documents such as memos, letters, reports, speeches, presentations and news releases.
  • May act as lead on special projects; assists with strategic initiatives.
  • Manage day-to-day administrative support activities for a team of 50+ people.
  • Supervise administrative support staff; sets and evaluates goals and objectives.
  • Schedule, coordinate, prepare for and facilitate conferences, meetings, presentations, interviews, events and other similar functions (office luncheons, birthday greetings, retreats, etc.) for COM-IT staff; Coordinate all logistics, scheduling and participant communications.
  • Manage the maintenance of calendars; travel arrangements; creation of correspondence, documents, and presentations; meeting minutes and other administrative duties.

Minimum Qualifications

  • Bachelor's degree or equivalent advanced learning attained through professional level experience required.
  • Minimum of 3 years of related work experience.

Preferred Qualifications

*Knowledge of office and administrative practices and principles. *Work efficiently and effectively, both independently and as part of a team, in a fast-moving environment. *Knowledge and skills in accounting and budgeting procedures and techniques. *Microsoft Office Suite proficiency. *Ability to effectively communicate with superiors, coworkers, and other offices at the College and University. *Excellent written and verbal communication skills. *Strong interpersonal and customer service skills. *Attention to detail. *Experience with UAccess systems (Analytics, Employee, Financials).
