Program and Events Manager (Remote)

Position Description:  Program and Events Manager 

Reporting to the Vice President, Programs, the Program and Events Manager will have the following key responsibilities:

Live & Virtual Events - Event Planning and Production Management 

  • Create and manage the timeline, program plan, and task list in collaboration with the Program Director. Lead all event planning and production meetings and discussions.

  • Manage technology vendors including registration, ticketing, badge printing, and conference platforms (e.g. CVENT, Eventbrite, Hopin’.) Organize and manage attendee check-in processes. 

  • Organize and collaborate with the program and marketing team on event concept, graphic design/production/printing, and event marketing. This includes event collateral such as program booklets, signage, and other program needs. 

  • Work closely with the marketing team on event website pages, ensuring details are consistent and up to date.

  • Research venue options, coordinate appointments and visits to see venue space, and schedule events on the calendar.

  • Negotiate costs and services with vendors; book event space, arrange food and beverage, order all supplies/decorations, coordinate audiovisual equipment & operation, make travel arrangements.

  • Coordinate the logistics for shipping supplies and staff travel to the event location.

  • Secure volunteers; manage the staff and volunteers working at the event.

  • Work with the venue to create/revise room layouts/seating arrangements for each event as necessary.

  • Collaborate with the program and development team on creation of event sponsorship packages based on venue and availability of event space.

  • Working closely with marketing, track and communicate the registration and attendance data to the team. Create interim and final registration and attendance reports.

  • Create and implement event feedback surveys; evaluate results for the team and make suggestions for improvements. Compile comprehensive program reports for major events.

  • Major events include but not limited to:

    • The Forté MBA Women’s Leadership Conference, an annual event with over 1000 attendees (students, school and corporate partners) - live event.

    • The Forté MBA Financial Services FAST Track conference, an annual event with over 150 attendees (students and corporate partners) - live event.

    • The Forté Fall Virtual MBA Women’s Leadership Conference, an annual event with over 800 attendees (students, school and corporate partners) - virtual event.

    • Additional programs across college, early career, MBA, and professional audiences to be determined.

    • Team retreat and other executive level events.

Online Events - Webinars

  • Serve as a leading manager and administrator of the Zoom technology platform, our online webinar and meeting service provider. Become skilled in functionality and best practices and understanding platform reporting functionality.

  • Manage technology and logistics of MBA and Professional Program webinars. Responsible for setting up background technology, speaker technology prep, and ensuring smooth delivery to the webinar audience. Serve as support in delivering webinars (monitoring chats, launching polls, etc.)

  • Communicate webinar schedule to Forté team; ensure team coverage for events. Compile reports on registration, attendance, and develop surveys; evaluate and deliver results to the team; make suggestions for improvements. 

  • Compile monthly comprehensive webinar reports on all program webinars.

Other responsibilities

  • Assist with preparing budgets and provide periodic progress reports to directors for each Live or Virtual Event.

  • Keep track of event finances including check requests, invoicing, and reporting.

  • Prepare and modify event contracts as requested.

Desired Skills and Characteristics

  • Solid event management experience for a large number of events, small and large.

  • Detail-oriented and adept at maneuvering between multiple projects seamlessly.

  • Demonstrates energy and passion for the Forté vision to advance women into business leadership with a clear understanding of diversity, equity, and inclusion.

  • Comfortable working with a variety of constituencies including students, university administration, volunteers, and corporate executives.

  • Confident negotiator and comfortable managing multiple budgets simultaneously.

  • Excellent communication, writing, and interpersonal skills; understands the importance of listening, managing relationships and dealing with conflict. 

  • Must be able to work autonomously, meet deadlines, exercise independent judgment, handle day-to-day issues and set priorities with minimal supervision in a fast-changing environment.

  • Excellent project management, analytical skills, and data-fueled thinking.

Required Education/Experience/Qualifications

  • Bachelor's degree.

  • 5 to 8 years of work experience, ideally in a fast-paced environment.

  • Minimum 3 years event management experience.

  • Ability to travel to live events as needed, approximately 15% travel.

  • Excel, Word, and PowerPoint proficiency required.

  • Knowledge of and experience with CRM database management.

  • Comfortable with online event platform technology. Experience with Zoom or other online webinar tool. Experience with Cvent event management preferred.

Job Environment
