Job Summary

The Administrative Associate provides support to the Lead Administrative Associate and VITA Program Coordinator

Essential Duties and Responsibilities
  • Answer phone and e-mail inquiries about VITA sites, hours, and operations.
  • Prepare and send out communications to VITA volunteers as necessary or at the request of Program Coordinator/VITA Coalition Chair.
  • Assist VITA instructors at trainings with volunteer registration, preparing course materials, procuring refreshments
  • Assist in recruiting and retaining volunteers
  • Ensure adequate volunteer presence at VITA sites by communicating with volunteers
  • Keep volunteer records up to date
  • Assist in preparing reports as needed
  • Assist in designing and implementing material to recruit volunteers and promote services
  • Devise a marketing strategy
  • Develop a working relationship with various marketing partners
  • Monitor and post on VITA's social media pages
  • Deliver supplies and equipment to VITA sites as needed
  • Procure food and supplies for trainings
  • Perform other related duties, as assigned
Minimum Requirements
  • Education - High school diploma or GED.
  • Experience - Three years of related experience.
  • Additional relevant education may replace experience requirement.
Preferred Experience:
  • Bilingual (Spanish and English)
  • Previous experience as a VITA volunteer, Coordinator, or Administrative Associate
Knowledge, Skills and Abilities:
  • Working knowledge of Word and Excel.
  • Fluent in English with ability to speak basic, conversational Spanish.

This position generally does not supervise employees.
