Position Highlights
The College of Medicine -Phoenix, Student Affairs unit in the Academic Affairs department is seeking a Coordinator of Advising and Learning Initiatives (Student Support Specialist II) to join their team. This position directly supports the Career and Professional Advising (CAP) and Student Development (SD) teams with advising and learning initiatives. More specifically, this position coordinates and supports a variety of resources and services, including but not limited to the supervision and support for peer tutors, the management of student data, advising softwares and databases, internal websites, as well as the directly supporting the coordination of team events and communications.We invite candidates who have experience in: coordinating and managing learning support services such as tutoring or Supplemental Instruction, coaching and guiding others, customer services, software and data experiences, higher education or K-12 experiences, and providing support to diverse groups to apply today.

Duties & Responsibilities
Learning Initiatives:
- Coordinates and oversees learning services and
resources. More specifically, manages and coordinates tutoring and
Supplemental Instruction services under the guidance of the Director of
SD, including: supporting the recruitment and training of employees,
ongoing professional and team development, management of appointment
tutoring schedules and the walk-in tutoring center, time card approval,
debriefing and and providing feedback for peer tutors. - Provides data management and analysis support
(individual and aggregate student data). - Serves as lead administrator for advising software
used within SA (AdvisorTrac). These efforts including the set up and oversight
of calendars and consultant profiles, reporting functions, time
reporting, training efforts and ongoing trouble shooting for students
and staff. - Maintains documentation in software program and
advising systems, and receives and organizes student data. - Assists Registrar and Director of SD in monitoring of
USMLE registration and exam scores, and facilitates communication to
appropriate parties. - Maintains student Academic Vitals (electronic report
card) for students.
Advising Initiatives:
- Maintains specialty advisor list to ensure accuracy,
relevancy, and utilization. - Assists Director and CAP in maintaining an updated
list of students with specific residency match needs (i.e. couples
match). - Coordinates annual specialty advisor meeting.
- Establishes a communication system (i.e. listserve or
online resource list) for specialty advisors with goal of disseminating
relevant information to increase effectiveness of specialty advising
resources (i.e. access to AAMC toolkit, Careers in Medicine, Faculty
development, and/or Linked in Learning). - Collects and organizes data to enhance advising of
students on specialty selection, performance of our students, local and
national match data and any other corollary data that may prove helpful. - Assists Coordinator, Student Services with planning
of Mock Interviews and coordinates feedback from both students and
faculty for review by advisors. - Inputs and maintains master excel data sheet of
student data of 320+ students. - Inputs and maintains advising website including installation
of new announcements made by AAMC/ERAS, - Specialty Newsletters, recorded
independent learning modules, and updated calendaring of student
essential dates/events. - Serve as initial point of contact for change of
schedule requests. - Collate and send student communication regarding
external rotations, scholarships, and student opportunities via the
"Student Digest".
Shared support:
- Supports effective utilization of technology
resources integral to SD, CAP, and SA functions. - Serves as initial contact to students to answer their
questions and provide basic technical assistance; such as, questions
about their application, the documents needed, scheduling and deadlines. - Supports in the planning, coordination, and
facilitation of virtual and face to face events for both teams. - Responsible for processing of purchases for events
and services. - Serves as the website manager for both teams.
- Other duties as assigned.
Minimum Qualifications
- Bachelor's degree or equivalent advanced learning attained through professional level experience required.
- Minimum of 3 years of relevant work experience is required.
Preferred Qualifications
* Bachelor's degree in Education, Psychology, or related field.
* Experience in the coordination and supervision of tutoring services or Supplemental Instruction. * Strong customer service skills and ability to work with diverse groups.* Data management, website, and other technologies. * Professional experience in higher education working with and supporting students.FLSA: Exempt
