Office of the Registrar 

The Office of the Registrar at Front Range Community College (FRCC) provides knowledgeable, friendly, and helpful support services to students, administrators, and staff related to registration functions.  Registrar works with inter-institutional registration, international student admission, Colorado residency, official transcripts, articulation and transfer agreements, credential and graduation evaluations, maintenance of all permanent records pertaining to students, all functions relating to grades, grade changes, and default grades. The Office of the Registrar serves as a liaison with CCCS to provide centralized and consistent registration processes and ensure integrity of the college's academic and student records. Interpret federal, Colorado Department of Higher Education (CDHE), Colorado Community College System (CCCS), college policies, guidelines, and procedures related to the maintenance of the student information system, veterans' services and international students.   

 

Who You Are 

As the Graduation Evaluator and Transfer Credit you are responsible for the conferral of degrees/certificates, transfer credit evaluation process and updating the college student information system to accurately reflect a student's degree status within the established deadlines.  This requires a sense of logic and thorough understanding of academic policy, policy interpretation, procedures and program requirements, as well as the technical functionality of Transfer Articulation, Registration, and Academic History modules of the Banner Student System.  In this position, you support and assist the Registrar office with overall student services and general records processing.  While performing these duties, you follow established policies and processes related to correct documentation, records retention, record disposal. 

Please note: This is an on-campus position with an opportunity for remote work. You need to be a Colorado resident on your first day of employment. 

SALARY: mid $40's annually

Primary Duties

Graduation Evaluation: 
  • Serve as FRCC's Subject Matter Expert (SME) regarding conferral of degrees and certificates. 
  • Advise students on requirements needed to complete a degree or certificate and on the different options and or types of degrees/certificates 
  • Enter and verify the conferral of degrees and or certificates, degree and or certificate changes, graduation exceptions, course substitutions, transfer evaluations, and other academic changes needed on student record. 
  • Analyze graduation requirements by performing initial and final graduation audits through a deliberative process, identifying and reporting any deficiencies and or discrepancies to students and advisors in a timely manner. 
  • Work with students, staff and faculty/instructors to resolve any questions and or issues related to course requirements, program requirements, program declaration, transfer evaluation, accreditation, substitutions, graduation exceptions. 
  • Review, make recommendations, and/or changes to information on college web site, forms, communications emails and other electronic information systems related to graduation and/or transfer evaluation. 
  • Create student reports for administration, faculty, and staff. 
  • Collaborate with Student Affairs departments, Instruction and other constituents to develop and make recommendations regarding process improvement and policy clarification when appropriate. 
  • Print diploma after awarding degree/certificates each semester, this includes re-issue/re-print diplomas 
  • Take a leadership role in development, interpretation, and implementation of college-wide guidelines and business processes related to graduation evaluation, auto-confer, and reverse transfer. Makes recommendation for external processes and procedures related to graduation, auto-confer, and reverse transfer.  
Creating and Updating Documents: 
  • Review and update forms, graduation application. 
  • Review, develop and/or update communication to students regarding their graduation status; including award pending, award posted, award denied. 
  • Create and maintain multiple databases for commencement. 
  • Create graduation lists each semester and forward to College Publications for annual commencement booklets. Proofread commencement booklets for accuracy. 
  • Account for and request budget necessary for paper, diplomas, envelopes and other graduation materials, etc. 
Training: 
  • Train employees regarding, policies, office procedures and guidelines pertaining to the Registrar's office and graduation/degree check/transfer credit articulation. 
  • Coordinate, delegate, and supervise tasks to be completed by student employees as they relate to supporting graduation processes.  
  • Train departments (Registrar, advising, admissions, etc.) professional and student staff on how to answer basic questions pertaining to graduation process and transfer evaluation process.  
Transfer Credit Evaluation: 
  • Evaluate academic credentials from US colleges/universities against degree/certificate requirements by using all available resources. 
  • Review and advise students, faculty and staff on what acceptable courses can be taken at other colleges/universities to meet FRCC degree requirements and inform students about additional requirements. 
  • Work with graduates to explain transfer processes and how to have official transcripts from other institutions evaluated at FRCC and how to send FRCC transcripts to other institutions. 
  • Utilize the Transfer Evaluation System (TES) from College Source to build course equivalencies.  
  • Review and resolve student appeals regarding transfer credit.  
Other Responsibilities: 
  • Assist with department events (commencement, mass mailings, etc.). 
  • Assist Registrar office staff by answering phones and customer service. 
  • Maintain current knowledge of FERPA. 
  • Meet with FRCC students who present complaints and analyze possible solutions. Make appropriate and accurate referrals as necessary.

Qualifications

Required Education/Training & Work Experience: 
  • Associates degree or relevant equivalent work experience. 
  • One year of Office of the Registrar, Office of Admission and Records or Student Affairs experience 
  • Outlook, Excel, any Student Information system 
Preferred Education/Training & Work Experience: 
  • Bilingual in English and Spanish
