POSITION SUMMARY:

Reporting to the Senior Director, Alumni Relations and Public Programming, the Stewardship and Alumni Relations Officer will provide assistance to the Senior Director and Assistant Director of Alumni Relations as needed and work closely with them to ensure that all alumni feel connected to the school.

RESPONSIBILITIES:

  • Answer inquiries in coordination with other staff members of the Alumni Relations Office, serving as a point of contact by telephone, email, and in-person for alumni, students, and faculty.
  • Create, manage, and update alumni contact information in database.
  • Work closely with the Senior Director to coordinate FLAA Board meeting agenda, minutes, and materials.
  • Draft and create monthly alumni e-newsletter.
  • Oversee and draft bi-annual FLAA Dues Mailing.
  • Run reports, arrange, and oversee the mailing lists for invitations and other large mailings from the department database (Banner).
  • Assist with administrative aspects of alumni events hosted at the Law School, including merging, and creating event nametags, signage and gathering supplies and meeting materials.
  • Coordinate and sets-up meetings and teleconferences for staff and volunteer groups.
  • Maintain event RSVP lists and update shared drive.
  • Record and deposit event registration fees and FLAA Dues Membership fees.
  • Regularly coordinate with other Advancement Office administrators.
  • Manage alumni news and updates and subsequent letters from the Dean.
  • Assist with all aspects of the administration and operation of the Office of Alumni Relations.
  • Manage Office of Alumni Relations’ student workers.

QUALIFICATIONS:

  • Bachelor’s Degree required.
  • One year of prior relevant experience required with a background in higher education preferred.
  • Experience working with Microsoft Office is preferred.
  • Must be able to problem solve and troubleshoot, in addition to the ability to work independently in a dynamic team environment.
  • Demonstrated ability to effectively partner with a diverse group of administrators and work well with all levels of management.
  • Must have a passion for excellent customer service and a commitment to high quality work.
  • Strong writing, editing, and proofreading skills.
  • Strong word processing and database skills.
  • Flexibility in handling multiple assignments.
  • Possess desire to learn new skills and the ability to set priorities and meet deadlines.
  • Works as a team player.
  • Some night and weekend work will be required.
  • Successful candidates should have a knowledge of and commitment to the goals of Jesuit Education.
