Position Highlights

The Program Coordinator, Senior-Desk Operations, reporting to the Senior Associate Director for Residential Education, is responsible for the front desk operations across 23 dorms. This position oversees recruiting, selecting, training, evaluating and providing on-going development for desk staff including, but not limited to, a full-time Coordinator for Desk Operations, Desk Assistants, Desk Managers, and Office Assistants. The Program Coordinator, Senior-Desk Operations contributes to departmental goals through implementing student engagement strategies, assessing services provided at the front desks, and coordinating on-going development opportunities for student staff. This position may include driving a university vehicle and/or golf cart.

Housing & Residential Life (Housing), a self-funded auxiliary housed within Campus Life at the University of Arizona, operates 23 dorms and 1 graduate apartment complex that house over 7,800 students annually on the University of Arizona Main Campus. More than 80% of on-campus residents are first-year students. Our dorms range in style from historic to modern and range in size from 60 to 1000 residents. While the University does not require students to live on campus, more than 70% of all incoming first-year students choose to live in UA housing to help their transition to university life.

Duties & Responsibilities

DUTIES AND RESPONSIBILITIES:

Supervision

* Supervise Coordinator for Desk Operations

* Supervise approximately 20Desk Managersand 1-3 Office Assistants;indirectly supervise approximately 200 Desk Assistants

* Oversee the hiring, selection, training, supervision, and evaluation of Coordinator for Desk Operations, Desk Managers, Office Assistants,and Desk Assistants

* Ensure schedulingand payroll is completedfor staff across 23 dorm front desks

Desk Operations Management

* Develop goals and objectives to support Desk Operations efficiency/effectiveness and to contribute to long-range planning

* Develop and maintain area budget, monitor expenditures and perform simple analysis on accounts; prepareboth special and recurring reports for supervisor and authorize payments as needed

* Serve as liaison to faculty, staff, students and parents, outside agencies, and the public regarding front Desk Operations

* Identify, develop, and implementpolicyrevisions, organizational adjustments and operational changes within Desk Operations

* Develop and update training materials;conduct presentations as needed

* Work with occupancy software,StarRez,and train staff in its use

Student Development

* Developand oversee implementation of engagement strategies for front desks aligned with department residential curriculum, Wildcat Living

* Assess engagement at front desks, related to services provided and Wildcat Living strategies implemented

* Serve on Student Staff Training Committee and other student development focused committees as needed

* Coordinate on-going development opportunities for Desk Operations student staff

Access Controland Mail Services

* Advise Coordinator for Desk Operations on overseeing Card Accessand Key Policyimplementationwithinthe Residential Education unit

* Coordinate with Housing Access Control as needed to make significant policy or protocol changes

* Support the coordination of packages and mail service delivery with U.S. Postal Service and other package carriers

* Contribute to long-range planning as related to package and mail services across dorms

Other

* Contribute to the department's summer conference, summer housing, and winter housingoperations

* Serve on university and/or departmental committees

* Assist with move-in during August

* Complete other duties as assigned

Minimum Qualifications

* Bachelor's degree in field appropriate to area of assignment AND five years administrative/coordinative program experience; OR

* Master's degree in field appropriate to area of assignment AND three years administrative/coordinative program experience; OR

* Any equivalent combination of experience, training and/or education

* Valid Driver's License and ability to drive according to the *University Fleet Safety Policy

Preferred Qualifications

  • Two years of experience in housing and residential life or closely related area
  • Nine years of progressively responsible administrative/coordinative program experience
  • Experience working with and/or supervising students
  • Experience in analyzing information and policies
  • Experience in decision-making
  • Customer service experience
