Position Highlights

The Department of Medicine, Division of Gastroenterology is seeking an Administrative Support Assistant to support the Division and its faculty. A high degree of professionalism, organization, discretion, initiative, collaboration, and ability to follow instructions while using good judgment is expected. Effective communication, in both oral and written communications, with faculty, professional staff, and work colleagues is required to meet the diverse needs of the division. The person in this position will require initiative and independent judgment for the supporting of individual physicians as required. The ideal individual will have excellent time management skills with the ability to work effectively both independently and as part of an administrative team that consists of Faculty, Division Managers, and Administrative Staff.

Duties & Responsibilities

- Maintain GI UA Website to ensure data and information is up to date.

- Provide assistance as a backup and administrative support to the front desk.

- Maintain office equipment and order office supplies as needed.

- Assist with P-card requests and faculty reimbursements when requested.

- Maintain electronic documents and records in the departmental shared drives.

- Coordinate room reservations for events.

- Distribute mail throughout the division.

- Provide support in planning multiple conferences, events or meetings; communicate arrangements to appropriate individuals and draft letters to conference speakers.

- Handle IT support requests and facilities management requests.

- Assist faculty and guest speakers when preparing for Grand Rounds.

- Provide administrative support to the department Promotion & Tenure Representative and UA Vitae.

- Provide guidance and support for On-site Visits for Physician candidates.

- Coordinate with other campus entities to fulfill divisional requests and needs.

Minimum Qualifications

  • Minimum of 3 years of relevant experience required.
  • High school diploma or equivalent, or equivalent learning attained through experience required.

Preferred Qualifications

*Comfortable with managing electronic files, and updating/utilizing many websites. *Some familiarity with social media environment and comfortable with drafting messages, memos, and editing. *Ability to work on ongoing projects, and multitask with various deadlines. *Ability to handle multiple requests and prioritize. *Proficient in Office, Outlook, Excel, and Word.
