Job Description

Based on the foundation of the Ted and Karyn Hume Center for National Security and Technology, Virginia Tech launched the Virginia Tech National Security Institute in September 2021. With a presence in Blacksburg and the Washington, D.C., metro area, the institute aspires to be the nation's preeminent academic organization at the nexus of interdisciplinary research, technology, policy, and talent development, the national security institute will advance national security in pursuit of a secure America.

The Fiscal Tech will provide support for customers external and internal to NSI through expedient and accurate data entry. Responsibilities include:

  • Provides support for customers external and internal to NSI through expedient and accurate data entry.
  • Receives goods and services through the Virginia Tech automated purchasing system ("HokieMart") and sees that associated invoices are paid promptly according to Commonwealth of Virginia Prompt Pay guidelines.
  • Utilizes HokieMart to process routine purchasing transactions such as generating purchase orders as well as using the finance system and Banner to track financial information as it relates to the purchase orders and payments made on invoices submitted to the Business Office.
  • Responsible for maintaining accurate files and records using the purchasing system to generate needed reports and resolve questions for customers.
  • Receives and distributes packages and mail on a daily basis.
  • Provides other financial and administrative support as needed.

Required Qualifications

  • Previous administrative, program support, or fiscal experience in a professional office environment that includes processing invoices, reconciling and verifying documents to ensure accuracy, organizing, coordinating, and scheduling
  • Previous customer service experience with a strong commitment to meeting the needs of both external and internal customers
  • Previous accounts payable and purchasing/procurement experience.
Demonstrated proficiency with a variety of computer functions such as data entry, and spreadsheets, etc.
  • Excellent organizational, time management, communication and interpersonal skills.
  • Ability to perform repetitive tasks with minimal supervision and to work independently, prioritize work, and solve problems.
  • Previous accounting experience, including A/P, A/R, and fiscal reconciliations.
  • Demonstrated experience with developing/maintaining accounting/ finance policies and procedures necessary for proper internal control systems.
  • Ability to research, investigate, analyze, interpret and evaluate data with accuracy in work and attention to detail.
  • The ability to interact and communicate comfortably with students, staff, and faculty in a diverse environment and to work effectively in a team environment.
  • Demonstrated record of successfully managing project timelines, deliverables, and documentation.

Preferred Qualifications

  • Previous experience or knowledge working in an academic or similar office environment.
  • Knowledge of financial policies and procedures.
  • Demonstrated proficiency with financial databases, purchasing systems and travel expense systems.
