Position Highlights

The Graduation Services Advisor (GSA) assists students and staff through the degree candidacy process, oversees degree audits, and provides input on academic policy issues. The GSA participates in process improvement related to degree awarding and diploma management. As a member of the Graduation, Records, and Certifications team, the GSA will also serve as a liaison to colleges and other units in support of student persistence and degree attainment. The Office of the Registrar is responsible for the accuracy and integrity of the academic record. Serving all students, faculty, academic units, and student support functions, the Office is charged with the implementation of academic and student policies and their alignment to state and federal regulations and accreditation standards. The Office strives to be a leader and thought partner in creating efficient processes that are designed in a way that supports student success and service excellence.

Duties & Responsibilities

Duties and Responsibilities:

  • Advises students and staff on the degree candidacy application process, degree audits, and academic policy issues.
  • Certifies completion of degree programs and posts degrees on the student information system (UAccess).
  • Makes adjustments to students' records including changing or adding majors and minors and adjusting repeat codes.
  • Assists team lead with current and new projects that will provide more efficiency in the awarding process.
  • Management of the diploma service provided, including student inquiries.
  • Serves as college liaison with faculty and staff advisors and students, maintains accurate records of degree audits, and responds to phone, email, and in-person inquiries regarding application for degree candidacy, senior degree audits, and graduation issues.
  • Assists other University offices with graduation needs.
  • Participates in testing new programs and processes.
  • Additional duties as assigned.

Knowledge, Skills, and Abilities:

  • Extensive knowledge of University policies to ensuring degree awarding is in compliance.
  • Ability to effectively use standardized software programs including Microsoft Office Suite and UAccess.
  • Skills in database, spreadsheet, and word processing applications.
  • Ability to learn new software and systems.
  • Good written and verbal communication skills.
  • Focused attention to detail and a high standard of excellence.
  • High levels of initiative, dependability, flexibility, and motivation.
  • Ability to establish, maintain, and sustain positive, professional working relationships internally and crossfunctionally.
  • Ability to work independently and as part of a team in an office environment.
  • Ability to multi-task during critical time periods.

Minimum Qualifications

  • Bachelor's degree or equivalent advanced learning attained through professional level experience required.
  • Minimum of 3 years of relevant work experience required.

  • Experience working with diversity and inclusion in the workplace.
