Position Highlights

The University of Arizona Cancer Center (UACC) is a National Cancer Institute-designated comprehensive cancer center dedicated to the prevention and cure of cancer through patient care, research, and education. The UACC is currently seeking an Administrative Assistant. Under the direction of the Associate Director of Administration, the position performs a variety of administrative duties including document preparation, scheduling, meeting and event coordination, travel arrangements, website updates, record keeping, supply inventory and data entry. This position requires a high degree of professionalism, discretion, initiative, and organization, accuracy and attention to detail, use of good judgment, and the ability to set priorities and handle multiple projects with limited supervision.

Duties & Responsibilities

  • Perform administrative tasks by researching systems operations and procedures, coordinating departmental activities, participating in the development of policies, SOPs, evaluating requests for materials and equipment, developing and preparing reports and recommendations, researching and preparing drafts of various documents, maintaining spreadsheets and databases, organizing travel and responding to inquiries.
  • Manage the AD of Administration's calendar which includes prioritizing meetings and preparing meeting agendas, assisting in coordination of meeting attendees including providing arrangements for visiting guests.
  • Manage office calendar, time off requests, and serve as time approver.
  • Point of contact for concerns and queries related to the Administrative unit. Provide assistance and customer service as needed.
  • Create and update departmental files, databases, correspondence, documents, and reports.
  • Order supplies, equipment, and technology as needed, and manage existing inventory.
  • Monitor, review, and approve standard expenditures to ensure the activities of the office are conducted within established budgets.
  • Assist with development of presentation materials and Power Point slides.
  • Provide support to units within Administration office as needed and approved by the Associate Director of Administration. Provide backup coverage to the Special Assistant to the Director.
  • Assist with special projects as needed, including coordination, data management, team meetings, and development of protocols and standard operating procedures.
  • Plan and manage events such as team retreats.
  • Coordinate av/biocommunication needs.
  • Additional duties as assigned.

Minimum Qualifications

  • Minimum of 5 years of relevant experience required.
  • High school diploma or equivalent, or equivalent learning attained through experience required.

Preferred Qualifications

* Advanced knowledge of Microsoft Office Suite.
