Job Description

Assistant Director, Facilities - Residential Life

Under the supervision of the Director of Housing Operations the Assistant Director for Facilities in Residential Life is responsible for management and coordination of all residence hall facility and equipment needs including furnishings, contract services, work order requests, general maintenance issues, coordination with capital project and equipment processes relating to residence hall renovations and repairs, and supervision of 4 full time employees. The position is directly responsible for coordinating a wide variety of work orders, projects, and processes that ensure the maintenance and upkeep of the residence halls while simultaneously ensuring that these projects create minimal disruption to the academic year and summer operations often occurring alongside projects.

The Assistant Director assists in the capital project and equipment processes relating to residence hall renovations and repairs and is directly responsible for the planning, budgeting, and management of all aspects of the residence hall furniture replacement cycle. The AD is expected to personally conduct regular physical inspections of the residence halls and coordinate all internal inspection processes conducted by the Facilities Supervisors and residence hall staff. In order to ensure the preparation of the residence halls for occupancy throughout the year, the Assistant Director assists in the identification of safety & maintenance concerns and the communication of the same to the Facilities Supervisors and work order center. The Assistant Director is responsible for the inventory of all furnishings including determining yearly replacement needs and making recommendations for replacement furnishings to be purchased. They are also responsible for maintaining accurate inventory data pertaining to items in an off-site warehouse, and in the approximately 24 storage locations within the residence halls.

Essential functions includes:

  • The supervision, development, and evaluation of Facilities Assistant, Senior Facilities Supervisor, and two additional Facilities Supervisors.
  • The installation and/or replacement of all residence hall furnishing in student rooms, common areas, lounges, etc., including furnishing adjustments required for approved disability accommodations.
  • Serving as direct liaison with Buildings and Grounds, and Housekeeping staff. Responsible for communicating all related residential life and facility issues to appropriate individuals including maintaining open communication with shop foremen, supervisors, and residential life staff in resolving maintenance, housekeeping, and furnishing concerns.
  • Collaborates with multiple departmental and campus stakeholders to organize and coordinate renovation and construction calendar alongside use of residence halls for summer camps, conferences and summer student housing, as well as generating projections for all capital expenses, capital equipment needs, and capital projects in the residence halls. Management of furniture requests process and total furnishing and equipment inventory including the coordination of purchasing, delivery, and storage of all items.
  • Management of residence hall work orders including utilization of the facilities work order system to generate regular reports and statistics related to facilities concerns, maintenance and furnishing requests, and to proactively address issues. Including conducting regular facilities inspections and walkthroughs, and collaborating with stakeholders around routine processes including Health and Safety Inspections and Fire Drills.
  • Management of relationships with contract service vendors relating to the residence halls including drape, cleaning, and refurbishing. Responsible for procurement processes, vendor contact, evaluation of annual service needs and schedules, and period review of vendor contracts and RFPs when necessary.
  • Management and coordination of delivery and/or pick up of all department materials, professional staff apartment moves, including periodic support of Facilities Supervisor staff around furniture deliveries, moves necessitating the ability to lift, carry, and move large furniture items, and in-person response to work requests and maintenance needs.
  • Through supervision of the Facilities Assistant, responsible for damage billing and all residential and office keys and room access codes, lock changes, repairs, and code changes for both academic year and summer conference operations.
  • Regular use of a variety of technologies including BIM 360 Ops work order system, StarRez, Smartsheets, Kronos, and Google Suite.
  • Each staff member is expected to contribute to the greater goals of the division and the university. These contributions (outside of your primary work area) may include supporting division and university-wide initiatives, staffing events, and serving on committees as needed. Some of this work may take place on weekends and outside of normal business hours.

Full-Time Equivalent Hiring Range: $57,850 to $72,300; salary commensurate with relevant experience.

Requirements
  • At least 5 years Housing, Residential Life or Facilities experience required.
  • Working knowledge of maintenance, housekeeping and work order processes.
  • Ability to supervise and manage, excellent communication skills, and knowledge of computer systems.
  • Familiarity with using a variety of technologies, preferably BIM 360 Ops work order system, StarRez, Smartsheets, Kronos, Traka, and Google Suite.
  • Must be available to work evenings and weekends.
