Saint Vincent College seeks applications for a Registrar. This is a full-time position with benefits. The Registrar is responsible for managing and maintaining the academic records of undergraduate, graduate and seminary students and enforce and interpret academic policies, procedures, and regulations. This includes, but is not limited to overall management of the registration process and grading process. Services are provided on a regular basis to students, alumni, parents, faculty, administration, staff, and visitors.

Required Qualifications:

Education:

Master’s degree in management or related field

Experience:

Minimum three years in the field of academic administration with managerial expertise. Competency and proficiency using computer database system required.

Essential duties:

1. Manage the operations of a comprehensive records and registration office and implement an organizational structure to effectively accomplish the goals and objectives of the Office as related to the Mission of the College and Seminary. This includes leadership, training, supervision and evaluation of the staff. 

2. Oversee the maintenance of student academic records and database as well as archived academic records of all programs offered by Saint Vincent. 

3. Schedule and coordinate academic registration including collection and processing of course offerings and finalizing schedules after all necessary adjustments are complete.

4. Maintain the student and faculty information on the MySV portal. This includes registration, program evaluation, and grade information. 

5. Serve as primary administrator of the Family Educational Rights and Privacy Act (FERPA) for the institution. 

6. Assist in planning process for all major Academic Events (Opening of Academic Year, Founders' Day, Honors Convocation, Graduation,etc.). 

7. Verify fulfillment of program and/or certificate requirements. 

8. Authorize transcripts and verifications of enrollment and graduation/fulfillment of academic program. 

9. Work in cooperation with School Deans, Department Chairs, and faculty on a regular basis and/or as requested.

10. Coordinate and monitor class room condition,repairs,renovations,purchases, and scheduling in conjunction with Facilities Management Office, Information Services, and Events and Conference Services.

11. Authorize and/or process all database requests in relation to student records. 

12. Verify NCAA other athletic eligibility forms for all athletes. 

13. Coordinate collection and scheduling of Summer School course offerings. 

14. Approve Change of Major, Extension of Incomplete Grade Deadlines, Late Add/Drop, and routine exceptions. 

15. Submit enrollment and degree verify reports to National Student Clearinghouse (NSC) on a regular basis.

Other duties:

1. Work with the Vice President for Academic Affairs to draft and approve the academic calendar. 

2. Support the Vice President for Academic Affairs with projects and issues as requested. 

3. Update text portion of the College Bulletin (specifically sections on academic rules, regulations, policies, and procedures). 

4. Manage cross-registration with Saint Vincent Graduate Programs and Seminary, Seton Hill University, and University of Pittsburgh.

5. Oversee ordering of diplomas. 

6. Serve on Committees as requested by Vice President for Academic Affairs. 

7. Design, present, and implement new procedures for improving services provided by the Registrar's Office.

Special challenges and environment:

1. Although the operations of the Registrar's Office are cyclical, the nature of the work requires multi-tasking on the part of all office personnel. Planning and preparation for upcoming semesters is required while regular operations continue for the current semester. 

2. The Registrar's Office is a customer-service oriented office environment with regular interruptions, including counter customers, telephone and email correspondence. The open-door policy promoted by the Registrar requires immediate attention and service.
