Position Highlights

The College of Medicine-Tucson Information Technology Services (COM-T ITS) is accepting applications for the open position of Administrative Associate. COM-T ITS provides innovative, reliable and accessible technology support; a wide variety of computing, multi-media and data management services as well as hardware resources to faculty, staff and students in the College of Medicine.

The Administrative Associate reports to the Assistant Dean of COM-T ITS and performs a wide range of clerical and secretarial tasks for the department. The main responsibilities will focus on: processing and documenting computing equipment purchases for the College, UAHS units and centers, UACC and COM-T ITS; preparing and editing important office correspondences; finally, providing administrative assistance to the department members, the Office Coordinator, Senior and the Assistant Dean. Duties & Responsibilities

  • Assist with processing all college expenditures that COM-T ITS handles upon approval by business managers and other authorized personnel.
  • Assist with processing, reconciliation and monitoring of COM-T ITS expenditures that are approved by the Assistant Dean.
  • Use COMHelp to establish, track and monitor computing inventories for COM-T ITS by entering transaction and financial information.
  • Assist with monitoring, reviewing and approving standard expenditures to ensure the activities of the office are conducted within established budgets.
  • Create and update databases, departmental files and various reports.
  • Assist in coordinating and implementing multiple projects. Prioritize workload, meetings and appointments.
  • Monitor inventory, order and dispense supplies.
  • Perform a variety of administrative duties including document preparation, scheduling meetings, assisting with coordinating events and travel arrangements, website updates, record keeping, updating department files and reports and data entry on Snipe-It for asset management.
  • Open, read, route and distribute incoming mail and other deliveries.
  • Compose and edit complex internal and external correspondence and documents.
  • Answer telephones and give information to callers, take messages and/or transfer calls to appropriate individuals.
  • Provide assistance as needed to students, faculty and other staff on policies, practices and procedures.

Minimum Qualifications

  • High school diploma or equivalent, or equivalent learning attained through experience required.
  • Minimum of 5 years of relevant experience required.

*Technologically savvy and strong interest and passion for technology. *Strong analytical skills with the ability to collect, organize, analyze, disseminate, and present significant amounts of information and reports with attention to detail and accuracy. *Integrity and professionalism. *Excellent written and verbal communication skills. *High degree of multi-tasking and time management capability. *Strong attention to detail. *Knowledge of office and administrative practices and principles. *Ability to work under pressure and on tight deadlines. *Work efficiently and effectively, both independently and as part of a team, in a fast moving environment. *Strong interpersonal and customer service skills. *Knowledge and skills in accounting and budgeting procedures and techniques. *Microsoft Office Suite proficiency. *Ability to effectively communicate with superiors, coworkers, and other offices in the College and University.
