Job Summary

This position is primarily responsible for supporting the functions of the Music Area. Several of the chief tasks include providing administrative support to the Director/Assistant Director, maintaining financial records, managing departmental calendar and concert schedules, preparing programs for special events, recording and depositing payments for student trips, assisting ensemble directors with tour planning, planning and hosting audition days, updating the Music Area webpage, assisting with recruiting efforts, submits course offerings and catalog changes and supervising student and temporary workers.

Scope

Support the Music Area through serving as the Senior Administrative Assistant and assisting the Director/Assistant Director, faculty, staff and students within the Unit with a variety of clerical tasks.

Principal Responsibilities
  • Provide administrative support to the Director/Assistant Director in all endeavors.
  • Assist Director/Assistant Director with NASM accreditation.
  • Maintain Music financial records including processing of credit card expenses, payment requests, extra earnings requests, budget transfer requests, monitoring of the Music budget, submit course offerings, make catalog changes and assist with Adjunct Loads.
  • Manage the Music Area planning calendar and schedules, including room reservations for classes, rehearsals, meetings, and adjunct offices, and also the schedule of Music Area concerts and recitals.
  • Coordinate and prepare programs, posters, and press releases for recitals, concerts, and tours.
  • Record and deposit payments for various student trips, activities, and reimbursements for books and supplies.
  • Assist ensemble directors in all aspects of tour planning.
  • Plan and host audition days, including scheduling faculty, accompanists, and prospective students; obtaining and providing music to accompanists; and coordinating Music Ambassador duties.
  • Assist students with registration, including providing course information and applying waives.
  • Maintain System Administrator for the School of Visual & Performing Arts.
  • Assist with maintaining the Music Area webpage.
  • Assist with recruiting efforts through serving as liaison between the Music Area and the Admissions office for visiting prospective students.
  • Maintain a year-to-year record tracking applications, auditions, and deposits of prospective students.
  • Maintain a year-year record tracking Non-Major Talent Awards.
  • Assist with Honors Day activities.
  • Assist with alumni tracking.
  • Assist directors of summer camps through depositing payments, making copies and ordering camp supplies as requested.
  • Track student concert attendance and performance participation.
  • Submit requests for building maintenance and coordinate special projects.
  • Maintain instrument inventory with feedback from area heads.
  • Maintain student and faculty files, files for concert and recital programs, and administrative files.
  • Record the minutes of faculty meetings.
  • Monitor, maintain and order office supplies and equipment.
  • Provide a warm, hospitable and well organized environment for the Music Area and perform a variety of clerical tasks.
  • Supervise student and temporary workers.
  • Other duties as assigned.
Required Skills
  • Excellent organization and communication.
  • Proficiency in Microsoft Office products, Banner and WebFocus.
  • Knowledge of standard office policies and procedures.
Minimum Qualifications
  • Associate's Degree or a two year college or work equivalent.
  • At least one to two years of similar work experience.
Preferred Qualifications
  • Bachelor's Degree.
  • Two or more years of similar work experience.
