About the Opportunity

The Office of Cancer Prevention and Control (CPC)within the Cancer Institute atWest Virginia University is seeking applications for a Program SpecialistThisposition will design, develop, implement, and manage internal and external resources, forms, trainings, and communications across multiple programs, including, but not limited to Mountains of Hope, WV Breast and Cervical Cancer Screening Program, and WV Program to Increase Colorectal Cancer Screening.

What you'll do:

  • Interfacewith 600+ internal and external partners and maintainkey partnerships for the completion of grant activities.
  • Developpolicies and protocols to implement cancer control programs.
  • Preparebudgets and budget justifications, monitorexpenditures, and ensurethat financial constraints are met and budgetary concerns addressed for external funders.
  • Coordinatethe design, development, and implementation of materials for CPC programs.
  • Developresources to promote the program including, but not limited to, internal communications, communication with partners, health education materials, visual media (films, video, photographs, infographics, posters, PP slides, etc.), and social media.
  • Write, edit, and submitgrants.
  • Ensurethat project deadlines are met and grant deliverables are completed.
  • Enterresearch protocols into KC system and maintaina schedule for needed updates and reports.
  • Serveas a back-up Coordinator for all CPC specialist and coordinator positions.
  • Prepareand submitreports on a regular basis and as requested, including monthly activity reports.
  • Trackawareness month activities, conductprovider and public education, and coordinates CPC and CI events.
  • Participatein required conferences, training seminars, and regular team meetings. Includes conferences and training seminars provided by WVU Cancer Institute, Mountains of Hope (MOH) Cancer Coalition meetings and other related meetings.
  • Actively functionas a team member in Cancer Prevention and Control (CPC).
  • Registervendor, finalizesubcontracts, and communicatewith shared services for all needed paperwork. Track submitted invoices for subcontracts/vendors and processes them for payment.
  • Maintaina repository of CPC grant applications, resources, presentations, and posters.
  • Enterdata for the CI Needs Assessment, analyzedata, and developassigned sections of final document.
  • Overseemain office, coordinateoffice and phone coverage, assistwith onboarding of new staff, and order/inventory supplies/computers as needed.
  • Workwith multiple University systems including Marketplace, Encore, Applaud, Shared Services, etc.
  • Preparelarge mailings for clinic and statewide partners, preparetraining packets/notebooks and other meeting materials.
  • Annually disseminatefunding numbers for the grants to ensure accounts are charged properly.
  • Annually completeVerbal Approval Requests for grants.
  • AttendShared Services monthly meetings to keep current with relevant issues pertaining to program operations and communicates changes to CPC Sr. Staff.

This position allows for flexibility in work location, including ahybrid work option. Travel to the WVU Campus may need to occur based on organizational needs throughout the year.

  • Master's degree preferred in appropriate discipline: public health, social work, education, counseling, communications, marketing, health education, nursing or related field OR an equivalent combination of education and directly related experience.
  • Six (6) monthsof related experience required:
    • Experience in project development, coordination, and promotion
    • Experience in community outreach and education
  • Ability to prepare reports and present ideas clearly and concisely.
  • Ability to implement a research protocol.
  • Ability to communicate clearly and concisely, both orally and in writing.
  • Ability to work independently, exercising judgement.
  • Ability to rapidly learn institution, federal, and state statutes and regulations.
  • Ability to handle a high level of detail.
  • Ability to maintain proper attendance and punctuality standards.
  • Ability to travel.
  • Ability to coordinate multiple responsibilities.
  • Ability to establish and maintain effective relationships and deal tactfully with departments, organizational units, related programs, and external agencies.
  • Knowledge of the mission, goals, and policies of the program.
  • Familiar with general computer applications including: Microsoft Office Suite, database management software, and internet search engines.
