Position Highlights

The Department of Surgery is seeking a Program Coordinator, Senior who can be the primary point of contact for the Institute for Cellular Transplantation (ICT). As the face for this internationally renowned research team, we need an individual who can think on his or her feet. Every day, new situations arise in the office requiring full autonomy to make quick decisions and take immediate action. We need someone who can stretch their administrative capabilities beyond the job description to tackle the complexities of a busy lab. The ideal candidate understands there is an art to managing multiple calendars and providing administrative support to a busy research team. We need someone that can display grace under pressure and represent the Department of Surgery in the best light. The incumbent for the ICT Team must be highly motivated, energetic, a self-starter, an excellent team player, and able to work accurately with frequent interruptions.

Duties & Responsibilities

  • Manage
    calendars for entire ICT Team; prioritize and coordinate meetings,
    conferences and appointments.
  • Arrange
    travel for ICT Team, including travel authorization, flight itinerary,
    lodging, meeting agenda; work with ICT Research Coordinator and Senior
    Business Manager to collect and submit receipts for reimbursement
    according to UA policy.
  • Coordinate
    travel for international research scholars which includes planning events,
    dinners and logistics invited guests.
  • Assist
    ICT Leadership with overall programmatic budget for grants, contracts, and
    gifts; determine effort allocations across funding types for research
    staff and budget development for grant proposals.
  • Coordinate
    and prioritize, with the Primary Investigator, key faculty research
    projects that will require submission for upcoming peer reviewed meetings,
    conferences, and assist with budget analysis.
  • Manage
    with senior leaders the inventory of study supplies and purchasing of lab
    supplies within established guidelines and P-card policies.
  • Participate
    in research team meetings and other conferences, as necessary.
  • Oversee
    submission of accurate and timely closeout documents to applicable Federal
    agencies, University entities and the sponsoring agency in accordance with
    Federal regulation and University and sponsoring agency policies and
    procedures.
  • Arrange
    secure storage of study documents that will be maintained according to
    University policy or for the contracted length of time, whichever is
    longer.
  • Assist
    faculty with formatting of Curriculum Vitae for Promotion and Tenure
    packets and maintain UAVitae.
  • Transcribe
    and compose letters and correspondence from rough draft, corrects grammar,
    spelling and punctuation errors; edits wording without changing intended
    message.
  • Attend
    training and development workshops as necessary.

Minimum Qualifications

  • Bachelor's degree or equivalent advanced learning attained through experience required.
  • One (1) year of relevant work experience required.

Preferred Qualifications

*Knowledge of standard office policies and procedures. *Excellent oral and written communication and interpersonal skills.
*Impeccable skill set in grammar, writing and editing.
*Proficient in developing and maintaining good working relationships.
*Ability to interact professionally and effectively with faculty, medical students, residents, administration and the public.
*Proficient in Microsoft Office Suite.
*Ability to problem solve and make decisions.
*Ability to exercise sound judgment and high level of discretion in handling confidential and sensitive information.
*Knowledge of University of Arizona processes and procedures.
*Knowledge of UAccess.
*High degree of flexibility.
*Ability to work in a fast-paced environment with competing deadlines and priorities.
