You will have the opportunity to greet visitors, assist with the coordination of meetings, prepare meeting materials for presentations, and assist campus with general questions as it relates to their employment transaction. This position requires a high degree of professionalism, initiative and flexibility, as well as attention to detail, use of good judgment and the ability to handle multiple projects.

Duties & Responsibilities

  • Provide front desk coverage, answers phones, screens
    phone calls, greets visitors and direct them to the appropriate staff or
    departments when necessary.
  • Serves as the primary recipient of University-wide
    Form I9 supporting documents and Personnel Action Forms.
  • Ensures the highest level of accuracy for data
    entered into Docuware andHRISsystem to ensure successful
    data audits.
  • Manage calendars and regularly prioritize and arrange
    meetings and appointments.
  • Coordinate and provide logistical support for
    meetings, such as; internal trainings, campus wide presentations, and
    group activities. Troubleshoot a/v equipment and be a point of contact
    for meeting participants.
  • Prepare a variety of communications, including
    meeting minutes, meeting handouts and agendas.
  • Interact with faculty, staff, students and outside
    agencies to assist with unit activities. Respond to inquiries and
    prepare correspondence.
  • Serve as unit's point-of-contact for hiring,
    including posting jobs, scheduling interviews, checking references, and
    assisting with on-boarding.
  • Coordinate unit's financial transactions to include
    making travel arrangements, processing expense reports, ordering office
    supplies, renewing memberships, etc.
  • Performs miscellaneous data entry and other duties as
    assigned or required to meet unit and University goals and objectives.
  • Prepare and format reports and related materials
    using MS Office Suite, primarily Word, PowerPoint, and Excel.
  • Other duties may be assigned.

  • Knowledge of office equipment and supply ordering.
  • Skill in problem analysis and resolution.
  • Ability to effectively communicate with others.
  • Exercise sound judgement and critical thinking.
  • Perform accurately to produce quality results in a high volume and deadline-driven environment
  • High degree of project management and organizational skills.

Minimum Qualifications

  • High school diploma or equivalent, or equivalent learning attained through experience required.
  • Minimum of 3 years of relevant experience required.

Preferred Qualifications

  • Previous work experience in a college or university setting.
  • Familiarity gained by experience of principles, practices, and standards of human resource administration.
  • Previous experience with an enterprise human resources information system.
  • Familiarity gained by experience of employment-related laws and principles.
