Position Highlights

The Department of Physiology is seeking an enthusiastic, outgoing, and efficient self-starter to join the Physiology team as Executive Assistant/Coordinator, Personnel and Faculty Affairs. The individual will provide executive-level support to the Department of Physiology Department Head and provide high-level administrative support for Departmental Human Resources, Faculty Recruitment, and Faculty Affairs. As a part of the business office unit the incumbent will work independently, reporting to the Department Head and Department Administrator.
The ideal candidate will have the ability to exercise good judgment in a variety of situations, strong written and verbal communication, administrative, time management and organizational skills, social and emotional intelligence, and the ability to manage multiple priorities and projects. The successful individual will have the ability to work independently on projects, from conception to completion, and work with deadlines to discretely handle a variety of activities and confidential matters.

Duties & Responsibilities

  • Manages the daily activities of the Department
    of Physiology.
  • Supervises Administrative Support Assistant.
  • Manage the Department Head's calendar which
    includes scheduling and prioritizing meetings with faculty, visitors,
    candidates, other Department Heads, and students. And ensuring the Department
    Head is properly prepared for each meeting/event.
  • Facilitates smooth communication within department, university colleagues, and external parties. Handles confidential and delicate matters related to personnel matters and business affairs.Attend monthly faculty meetings and record minutes.
  • Manages the Faculty
    Annual Review process and assist the Faculty Annual Committee. Coordinates annual staff review process.
  • Collaborates with the COM-T Office of Faculty
    Affairs, the Department Head, and Promotion & Tenure Committee Chair and
    Committee Members, to manage and coordinate promotion dossiers for tenured and
    non-tenured faculty.
  • Manages and tracks Department of Physiology faculty
    UAVitae processes. Assist faculty with formatting of Curriculum Vitae for Promotion
    and Tenure packets and transfer of information to UAVitae.
  • Coordinates and manages recruitment activities
    for new faculty and staff searches. Manages and coordinates job postings in UA Talent.
  • Manages, coordinates and processes personnel transactions
    in UAccess. Ensures appropriate
    approvals are obtained in a timely manner.
  • Coordinates
    and processes US Immigration Visa requests and renewals for foreign
    scholars, faculty, and staff.

Minimum Qualifications

  • Bachelor's degree or
    equivalent advanced learning attained through professional level experience
    required.
  • Minimum
    of 1 year of relevant work experience required.

Preferred Qualifications

*Highly prefer UA experience.
*Previous experience with academic administrative support.
*Knowledge and experience of Talent and UAccess, including Manager Self Service, Financials and Analytics.
*Knowledge and experience with the Promotion and Tenure Process.
* Experience with UAVitae.
*Excellent organizational and time management skills.
*Excellent verbal and written and communication skills.
*A strong work ethic and a high degree of reliability.
*Resourcefulness and resiliency in finding answers and solutions.
