Job Summary

This position is primarily responsible for supporting the functions of the Student Affairs Office through a variety of responsibilities. Several of the chief tasks include coordinating student discipline notifications, maintaining the Maxient database, assisting with orientations and opening activities, receiving and directing inquiries, typing office correspondence and providing research for policies.


Support the Student Affairs Office through serving as the Student Affairs Specialist for the Director of Student Conduct and the Director of Student Involvement and performing a variety of clerical tasks

Principal Responsibilities
  • Receive and direct general inquiries both in person and by phone
  • Correspond with internal and external contacts pertaining to Student Conduct and Student Involvement operations/logistics
  • Provide research for Student Affairs policies
  • Maintain departmental websites for Student Conduct and Student Involvement
  • Draft office correspondence for review, edit and signature
  • Provide budget, business, and general support for Student Conduct and Student Involvement
  • Coordinate student discipline through scheduling appointments and hearings, writing letters and maintaining records
  • Maintain the Maxient database and provide ongoing recommendations for improvement (Conduct, Student of Concern, Misc., etc.)
  • Maintain the AlcoholEdu database (pre-matriculation Alcohol, Drug and Sound-Choices program)
  • Assist with Safe Colleges, Catharsis (various University training programs)
  • Track conduct cases for appropriate departmental and University reports
  • Maintain student conduct files (hard-copy and electronic)
  • Complete background checks for students and graduates
  • Support the orientation program through preparing materials, coordinating schedules, arranging reservations, and helping with set-up
  • Assist with Social Media for ONU Orientation/ONU Families (approving individuals - verifying student)
  • Provide support and assistance with orientation student staff
  • Provide on-site support of Student Involvement initiatives (e.g., Summer Orientation, Welcome Weekend, ACE Day, etc.)
  • Support Student Involvement programing initiatives (e.g., DeBow and Catherine Freed Awards, President's Leadership Dessert, Welcome Fest, etc.)
  • Make recommendations on matters affecting the entire department(s)
  • Orient, train and lead others performing similar work
  • Other duties as assigned
Required Skills
  • Ability to gather and interpret data using technical guidelines
  • Ease in discussing issues of moderate importance with higher officials through cooperation, explanation and persuasion
  • Knowledge of standard office policies and procedures
  • Ability to learn and work with various software applications
Minimum Qualifications
  • High School Diploma or GED
  • Three to four years of similar office experience
Preferred Qualifications
  • Associate's Degree
  • Five or more years of similar office experience
  • Experience with the BANNER database system
