Position Highlights

The Administrative Support Assistant III for The Center for Rural Health is a unique position which supports the CDC/ADHS COVID-19 Health Disparities Program funding in the Arizona Center for Rural Health (AzCRH) to provide Administrative Support for team with meetings/conferences, Management of grants, budget, reporting, record keeping, and communications.

Duties & Responsibilities

Meetings/conferences:

  • Oversees organization and coordination of program meetings and special events including scheduling, technology, location, refreshments and supporting materials.
  • Participates in program meetings by taking notes, preparing, and disseminating minutes, agendas, correspondences, and supporting documentation.
  • Answers inquiries and composes correspondence on own initiative on general grant related inquiries according to established guidelines and forwards other items to the appropriate team member.
  • Assists in the resolution of complex, highly sensitive, and confidential administrative matters.
  • Analyze administrative and operational functions for efficiency and effectiveness and implement appropriate changes and improvements. Streamline processes already in place.

Management of grants, budget, and reporting:

  • Independently research and determine appropriate course of action, referral and/or response; and independently formulate and disseminate responses as appropriate.
  • Coordinates pre-travel arrangements and processes post-travel expenses for program team.
  • Prepares supporting documents for program purchases and submits documents to the p-card reconcilers.
  • Coordinates with business manager to support post-award management of grants, including issues related to budgets and reporting.
  • Facilitates communication with external and internal University partners and the development of reports, manuscripts, and communication material for website.

  • Maintaining detailed databases, contact lists and records for grant activities and assist in preparation of grant reports.
  • Facilitates communication with external and internal University partners and the development of reports, manuscripts, and communication material for website.
  • Prepares supporting documents for program purchases and submits documents to the p-card reconciler.
  • Coordinates with business manager to support post-award management of grants, including issues related to budgets and reporting.
  • Provides program team with policies, procedures, reminders, and deadlines for their work plans and annual reports.
  • Maintaining detailed databases, contact lists and records for grant activities and assist in preparation of grant reports.
  • May train and oversee work of student employees.
  • Assist in the coordination and implementation of multiple projects.

Minimum Qualifications

  • Minimum of 5 years of relevant experience required.
  • High school diploma or equivalent, or equivalent learning attained through experience required.

Preferred Qualifications

*UA P Card, Travel experience.
*Experience working with budget management, special events and meeting coordination.
