Regis College is a leading coed university in Greater Boston with an enrollment of over 3,000 undergraduate, graduate, and doctoral students. Regis provides an academically rigorous education with offerings in the schools of nursing, arts and sciences, business and communication, and health sciences. The Nursing Program at Regis College is constantly evolving to prepare students to meet the complex needs of the healthcare industry. Reporting to the Director of Clinical Programs, the Clinical Program Coordinator will work in cooperation with Program Directors, other Coordinators, and external partners to prepare and place graduate students in approved facilities for their clinical rotations. They will collaborate with the Clinical Team ensuring all clinical requirements are met, process clinical sites and preceptors for students, and develop relationships with external partners to maintain sufficient clinical sites across all programs. This position can be remote or on-site.

Essential Functions

Clinical Placement Program Coordination

  • Help secure and approve appropriate clinical placement sites for graduate nursing students.
  • Prospect for new preceptors to expand clinical placement resources for students.
  • Manage communication with clinical agency liaisons, preceptors, students and program directors.
  • Establish and maintain positive working relationships with internal and external contacts and effectively interact with a wide range of stakeholders including students, internal faculty and staff, clinical agency liaisons and preceptors.
  • Support the clinical operations coordinator with all aspects of affiliation and preceptor contracts, agreements and renewals to maintain compliance.
  • Maintain and ensure that clinical faculty documentation follows accreditation agency requirements.
  • Track clinical placement data for local and national accreditors and reports.

Student Coordination

  • Coordinate all aspects of graduate nursing students' clinical placements and contracts; communicate clinical placement opportunities and requirements to students.
  • Ensure students are appropriately immunized for clinical placements and all clinical requirements are pre-screened, uploaded and approved in Castle Branch software.
  • Enter, manage and confirm clinical placements with centralized clinical placement systems.
  • Create, maintain, organize and prepare student records for clinical placements sites and for internal directors and/or coordinators in addition to external agencies, as required.
  • Maintain a working spreadsheet each semester for all students assigned.

Faculty and Preceptor Coordination

  • Manage preceptor and student data in CORE Elms software.
  • Update and maintain comprehensive contact lists of preceptors.

Other Responsibilities

  • Periodically attend meetings held at major healthcare provider sites with clinical placement coordinators from other New England Colleges.
  • Exercise independent judgment and discretion to plan and prioritize work to meet department/school/college goals and deadlines.
  • Provide administrative team support.
  • Perform other related duties as required.
  • Adhere to established policies and procedures.
Additional Information


  • Bachelor's Degree preferred. Minimum of Associate Degree and one to three years of related experience.
  • Excellent organizational and communication skills.
  • Experience working within a team and with multiple stakeholders, while maintaining a can-do attitude.
  • Knowledge of computer software programs and applications for word processing, spreadsheets, and database management.
  • Strong, positive phone presence and experience placing frequent calls daily.
  • Ability to learn and implement administrative procedures related to nursing policies, rules and procedures.
  • Ability to work with a limited amount of supervision, anticipating the needs of faculty and students and taking initiative to problem solve.
  • Ability to handle multiple tasks and consistently meet deadlines.
  • Ability to maintain confidentiality of sensitive information.
  • Ability to communicate complex information effectively both verbally and in writing.

Working Conditions/Physical Demands

  • Normal office environment, not subject to extremes in temperature, noise, odors, etc.
  • May spend extended periods at terminal, on telephone, or operating other office machines, requiring eye-hand coordination and finger dexterity.
  • Frequent interruptions to assist students, staff, and faculty.
