The Division of Financial Affairs is looking for a Receptionist/Administrative Support position to join their dynamic team, This position will have a primary focus of serving as the initial point of contact and providing administrative and operations support to all departments within the Division of Financial Affairs (DFA). What you will do:

As the first line of contact and receptionist for the division, this individual will provide telephone coverage, receive visitors, respond to routine inquiries, and provide direction and assistance to individuals as needed. This individual will also be a major contributor to ensuring the proper functioning of DFA from an administrative perspective. Such responsibilities will include mail distribution, faxes, checks held for pickup, coordination of processing payroll documents and drop off incoming and outgoing packages; ordering and maintaining an inventory of office supplies, as needed. This person will receive questions from staff using the hoteling space and may need to provide guidance or escalate to others, as needed.

Responsibilities of this position will require work to be performed on-site 2 to 3 days a week (e.g. mail, greet visitors, distribute checks held for pickup). The remaining days will be performed remotely such as scanning invoices, answering phone calls, forwarding incoming faxes to appropriate staff, setting up meetings, as needed. There may be a need to increase the onsite presence depending on division, department, and/or campus needs.

Must be a problem-solver and a self-starter who can take initiative to determine priorities, provide knowledgeable and professional responses, relay information within the organization in a timely fashion, and be able to interact with high-level University and external constituents in a professional manner at all times.

Under general direction, also assist in the preparation of various correspondence and work cooperatively with and, as necessary, to other DFA staff.

On Campus/Hybrid Remote

This position is located in Ithaca, New York. The successful applicant will be asked to perform this role on-site 2 to 3 days a week. The remaining work will be performed remotely at a location in the United States.

The New York Convenience of employer guidelines require New York State individual tax reporting and withholdings for this position. Additional individual state income tax filings may also be required if working temporarily outside New York State.

You will need:

High school diploma with at least two to four years of administrative or office experience, or equivalent combination of education and experience.

  • Reliable, friendly, and approachable demeanor.
  • Excellent interpersonal, oral, and written communication skills. Solid customer service skills required.
  • Strong attention to detail and organization skills are a must. Ability to handle multiple tasks simultaneously with frequent interruptions.
  • Ability to handle sensitive and confidential information appropriately.
  • Experience with Microsoft Office applications such as Outlook, Teams, etc.

If you have any of the following, it's a great bonus:

  • Experience in collaborative use of computer applications such as OneNote, Box, Sharepoint, and Zoom with ability to edit and maintain documents in a shared, cloud-based environment.
