Description of Work Unit

About ARC: The Analytical Resources Core (ARC) is an Institutional Core in the Office of the Vice President for Research (OVPR) at CSU. It is comprised of three centers: Materials and Molecular Analysis, Imaging and Surface Science, and Bioanalysis and Omics. The mission of the ARC is to provide instrument capabilities and expertise that exceeds the normal resources on individual research programs, and to make those technologies available as a shared resource. We strive to provide an environment that is rich in expertise and educational resources and to foster collaboration across the CSU community and beyond. The ARC-BIO LSS serves CSU researchers by stocking frequently used products on campus, a convenient, fast, and affordable alternative to ordering and shipping supplies for individual laboratories at CSU.

Position Summary

The Administrative Assistant will:
  • Manage the LSS, performing sales of products and services to CSU researchers during scheduled hours, ensuring supplies are restocked, maintaining excellent financial records, and communicating with existing and new vendors and customers.
  • Provide administrative support to the ARC Directors in communications, scheduling, travel, workshop and event planning, basic transactional steps in the Talent Management HR System during the hiring process, purchasing of ARC supplies and reagents, ARC instrumentation inventory management and other general administration.
Remote Work Policy: The Administrative Assistant must be on-site to perform sales and other physical stockroom duties. Flexibility in remote work outside posted stockroom hours will be considered.

Required Job Qualifications
  • Bachelor's degree in Business Administration or related field, Liberal Arts or any science-related field.
  • Minimum of 3 years relevant professional experience in administrative/clerical support role.
  • High level of computer proficiency (MS Office Suite).
  • Demonstrated ability to work successfully and positively in teams.
  • Demonstrated customer service skills.
Preferred Job Qualifications
  • Experience in a university setting is preferred.
  • Experience in QuickBooks or other software for inventory management.
  • Experience managing a sales portfolio.
  • Experience in the Kuali Financial environment.
  • Experience with the Talent Management System (TMS) Human Resources software.
  • Experience in purchasing, vendor relations, and customer service.
  • Ability to develop and maintain long-term relationships with vendors and stakeholders.
  • Ability to work collaboratively to meet organizational objectives.
  • Excellent time management skills.
  • Relevant degree or training in business, finance, or other relevant field.
  • Experience with Qualtrics for survey development and reporting.

Job Duty Category: Life Science Stockroom (LSS) Management

Duty/Responsibility
  • Responsible for all sales activities.
  • Responsible for restock activities
  • Financial record-keeping using KUALI financial software.
  • Facilitate vendor agreement negotiations and communications.
  • Participate in new freezer program negotiations.
  • Inventory management and control, currently performed using QuickBooks software.
  • Negotiates and creates standing and open purchase orders - $1,000.000 annually.
  • Shipping management, in part through CSU Central Receiving.
  • Authorizes payment for LSS orders.
  • Point of contact for EFP product advisory and consultation.
  • Professional interactions with corporate representatives and agents.
  • Manages periodic vendor shows.
  • Contributes to LSS marketing, advertising and outreach activities.
  • Other regular duties to ensure consistently high-quality LSS offerings in support of the CSU research community.
  • Regular reporting to and interaction with ARC-BIO director and ARC Business Manager to ensure financial sustainability of the LSS.

Job Duty Category: Analytical Resources Core Administrative Support

Duty/Responsibility
  • Human Resources transactional support, including operations within Talent Management HR System during the hiring process and scheduling search committee meetings and interviews when necessary, as well as assist with hiring of student hourlies and workstudy students in the ARC using Handshake.
  • Purchasing, shipment receipt, and delivery of supplies and reagents for ARC employees.
  • Scheduling support for ARC center directors, as necessary.
  • ARC instrumentation inventory management and facilities and equipment documentation.
  • Support with workshop and event planning, which includes management of registration, advertisement, scheduling, reservations and setup of rooms, catering, etc.
  • Communication for ARC Directors to stakeholders and user groups (including managing mailing lists, user and stakeholder surveys).
  • Other irregular administrative contributions as needed.
