The Registrar’s Office provides the structural support for the College’s academic program. It is primarily responsible for the maintenance of all academic records, the organization of class schedules, and registration for courses. The Office contributes to the College’s academic excellence and student success by coordinating with other administrative offices, providing advice to faculty and faculty committees, and ensuring that students have access to the best possible information about their academic record and progress. The Office ensures the integrity of all records. The Assistant Registrar and Technology Manager is responsible for the planning, designing, project management, and implementation of technical and functional systems managed and utilized in the Registrar’s Office. S/he provides leadership in developing and maintaining sustainable solutions for data management and integrity, managing projects, streamlining and refining services, and providing creative and adaptive solutions that help the office best serve the Illinois College community. 
  • Provide technical and analytical support to the Registrar’s Office, with particular emphasis on data integrity, best practices, process streamlining, training, and documentation as they relate to the software utilized by the Registrar’s Office
  • Use technology creatively to provide solutions to the academic community
  • Write system queries, design, develop, and analyze reports, modifying existing reports, troubleshoot, and structure data output for use by all college constituents
  • Program, maintain, and update software, including but not limited to that which manages student academic records, course information, transcripts, and transfer course evaluations.
  • Collaborate effectively with the Office of Information Technology and other members of the Data Team in carrying out duties
  • Assist in establishing short- and long-term technology priorities and implementation for key initiatives
  • Provide data analysis reports as requested 
  • Serve as the Jenzabar Module Manager for the Office of the Registrar
  • Provide support to Student Financial Services for scholarships and course audits
  • Monitor the decisions of the Curriculum Review Committee and faculty, implementing all approved changes 
  • Submit DegreeVerify reports to National Student Clearinghouse for graduate reporting
  • Participate in all aspects of registration
  • Maintain a strong collaborative relationship with other offices, including Academic Affairs, Student Financial Services, Admissions, the Business Office, the Office of Global Programming, Student Life, Connections Program, Institutional Research, and the Office of Information Technology
  • Provide excellent customer service to those seeking information and assistance from the Office electronically, by phone and in person 
  • Ensure the integrity, accuracy, and confidentiality of student records
  • Attention to detail and ability to maintain confidentiality.
  • Comply with relevant laws and regulations (including FERPA) concerning academic records
  • Bachelor’s degree required 
  • Experience with database management required
  • Experience working with Jenzabar preferred
  • Functional knowledge of systems and processes related to the Registrar’s Office preferred
  • Intercultural competency; ability to work with individuals from diverse backgrounds required
  • Extraordinary customer service required
  • Ability to multi-task while maintaining an outgoing and friendly manner in a fast-paced office
  • Good judgment in responding to requests, maintaining confidentiality, prioritizing responsibilities and deciding how best to help customers whether they are students, alumni, parents, faculty, staff or others
