Summary

Under the direct supervision of the Accounting Manager and working closely with Institutional Advancement (IA), Payroll, and other members of the Business Office, the Assistant Accounting Manager is primarily responsible for supporting the accounting, payroll, and grant administration functions of the University.

Essential Functions

Accounting and Payroll (50% of time)

  • Review and approve bi-weekly and monthly payroll.
  • Serve as a backup for the Payroll Manager in processing faculty, staff, and student payroll.
  • Assist in reconciliations and preparing journal entries for the month end and year end close process.
  • Assist in preparation of the University year-end audit and financial statements.
  • Work with the University's payroll provider to make sure Regis is up to date and in compliance with various state registrations.

Grants and Restricted Funds (50% of time)

Independently manage the University's financial management of grants and other restricted funds from pre to post award including but not limited to:

  • Pre-award data gathering and advisory for grant proposals.
  • Work with IA and principal investigators to facilitate compliance in management of restrictions on grant/restricted funds. Includes monthly internal reporting of budget vs. actuals to IA and PI.
  • Responsible for compliance with applicable external and internal requirements, including state and federal regulations, subcontracting and sub-recipient requirements.
  • Prepare billing and invoicing for grant reimbursements; ensure that funds drawn down from funding agencies are accurately credited to appropriate projects.
  • External reporting for grants, including the University's annual report for the Nurse Faculty Loan Program ("NFLP") to HRSA and federal quarterly financial reports.
  • Responds to audit (annual and other) requests for grant related reports, documentation, and questions.

  • Perform other duties related to accounting, payroll, and grants administration as required.

Requirements

  • Bachelor's degree required with preference for a bachelor's degree in accounting or finance.
  • 5-10 years of experience in grants management or equivalent combination of education and work experience.
  • Strong knowledge of and experience with federal and state grant reporting, including Federal Acquisition Regulations and OMB Uniform Guidance and Circulars.
  • Ability to implement and/or improve established financial policies and processes.
  • Ability to utilize sound fiscal accounting practices and procedures to account for receipt of grant funds and prepare necessary reports.
  • Ability to maintain discretion regarding confidential or proprietary information (e.g., payroll, contract terms).
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Strong interpersonal skills and ability to be collaborative and flexible across a range of constituents and departments.
  • Microsoft Office skills, especially strong Excel skills.
  • Ability to prioritize and meet deadlines with a high degree of accuracy and timeliness.
  • Excellent oral and written communication skills.
  • Excellent organizational skills.

Working Conditions/Physical Demands

  • Normal office environment, not subject to extremes in noise, odors, etc.
  • May spend extended periods at terminal, on telephone, or operating other office machines requiring eye-hand coordination and finger dexterity.
