Job Description

Full-Time Equivalent Hiring Range: $41,100 to $51,400; salary commensurate with relevant experience.

Fiscal and Operations Specialist ensures that administrative, financial, and operational systems and controls in the School of Social Work are properly maintained. The Specialist assists Assistant Director, Fiscal and Grant Administration with matters related to budgets, grants, expenses, personnel, benefits, and procurement while contributing to the School's effectiveness and successful daily operations. The position is responsible for interviewing, hiring and managing work study students, assisting with office renovations; serving as liaison with facilities management and office of environmental health and safety. The Fiscal/Administrative Specialist works assists with hiring adjunct faculty by preparing appointment letters and overseeing completion of hire paperwork.

Fiscal and Operations Specialist reports to the Assistant Director, Fiscal & Grant Administration.

This position provides fiscal support through PeopleSoft Financials for several accounts within the School of Social Work and is responsible for processing all budget & journal transfers. The Specialist must maintain various in-house expense ledgers. S/he is the coordinator and central contact for emergency evacuation and maintains routine facilities management. S/he hires and manages the work-study students and plays a role in the hiring of adjunct faculty. This position will also be the first point of contact for all procurement related issues for vendors, faculty, and staff.

Essential functions include:
  • Processes requisitions, vouchers, expense reports for faculty and staff (25%)
  • Maintains and reconciles in-house expense ledgers and procurement cards (25%) 
  • Assists faculty and staff with hiring student employees, graduate and research assistants; processes service and non-service stipends (15%)
  • Manage the procurement process within the SSW, including authorizing and approving transactions within specified guidelines (10%) 
  • Provide orientation and training to new employees as related to expense reimbursements, purchasing of supplies, booking of rooms, and ordering food for events (10%)
  • Carries out projects related to facilities & technology as assigned by the Associate Dean for Finance, Research & Administration or Assistant Director for Fiscal and Grant Administration (10%) 
  • Assists with School wide events (5%)
Some evening and early morning work may be required, but not on a regular basis.

Some light lifting required.

  • High school diploma required
  • Bachelor's degree preferred 
  • A degree in business or finance preferred 
  • Must include an understanding of or demonstrated aptitude with budgetary and financial concepts, especially in higher education
  • Three or more years' relevant experience or equivalent combination of education and experience
  • Excellent communication, organizational, interpersonal and customer service skills required
  • Must be able to work independently in a deadline oriented environment 
  • Ability to set priorities required 
  • Ability to maintain confidentiality required 
  • Proficiency in Microsoft Word and Excel 
  • PeopleSoft Financials and PeopleSoft Human Resource experience preferred
