The Student Affairs office in the Department of Academic Affairs at the University of Arizona College of Medicine-Phoenix is looking for an outstanding Student Services Administration Professional III. The job duties for this position fall into three broad categories: Coordinator of Student Progress, working with the compilation and coordination of Medical Student Performance Evaluations (Dean's letters), and administrative coordination and support for Associate Dean for Student Affairs. As Coordinator for Student Progress, this position interacts with students, faculty, lawyers and staff on sensitive topics and requires a keen understanding of educational policy, its interpretation and application. Dean's letters are a high profile component of students' applications for residency training.

Duties & Responsibilities
- Assist the Associate Dean of Student Affairs in the identification, tracking and monitoring of student progress across the curriculum.
- Assist in monitoring the successful completion of student action and remediation plans in conjunction with the ADSA and/or Career and Professional Advisor.
- Track and record students' behavioral competency evaluations, coordinate and monitor follow up between student and their Career and Professional Advisor, and/or the ADSA as needed per policy.
- Manage student progression by facilitating and tracking leaves of absences, curricular delays, and block/course/clerkship advancement, in relation to college policies.
- Responsible for other duties as needed for student progression.
Work closely with the Associate Dean of Student Affairs and the Chair of the Student Progress Committee in the coordination of tasks related to the Student Progress Committee.
- Scheduling, agenda items, coordination of meeting times and locations, assuring privacy and confidentiality throughout the process.
- Work with Chair of SPC and Associate Dean on correspondence to and from SPC .
- Collect, track and maintain all records of the SPC.
- Develop and maintain a system for policy change tracking; creating an organized catalogue for referencing essential policy data.
- Assure confidentiality at all levels of meetings, documentation, communication and records.
Medical Student Performance Evaluations
- Primary responsibility for collection of student data, drafting, coordination of editing, and administrative support for the creation of MSPE (Dean's letters). Responsible for ensuring all aspects of MSPE are complete within the required time frame.
- Facilitate the maintenance and design of the MSPE template in coordination with AAMC standards and recommendations.
- Compile records, evaluative comments, grades for each MSPE throughout the curriculum up to the MSPE release date.
- Compose the draft MSPEs based on AAMC template and compilation of student data for final composition by ADSA.
- Develop individual academic performance illustrative graphs for inclusion in MSPEs.
- Coordinate individual MSPE student meetings with Associate Dean, Student Affairs.
- Coordinate final review/editing of MSPEs.
- Coordinate release of MSPEs through registrar.
- Run reports and queries as needed.
Serve as Executive Assistant for Associate Dean for Student Affairs
- Responsibility for other administrative services as needed for ADSA.
- Maintain calendars, scheduling for ADSA.
- Assist with travel and post-travel reimbursement for ADSA.
- Track all academic policy changes and tracking as they relate to all areas of Student Affairs, Student Development, Financial Aid, Student Records and Career Advising.
- Assist the ADSA in gathering data and creating accurate reports, in conjunction with the Registrar.
- Oversee, coordinate, and assist ADSA in execution of annual Senior Celebration awards luncheon.
Other duties as assigned.
- Bachelor's degree or equivalent advanced learning attained through professional level experience required.
- Minimum of 5 years of relevant work experience is typically required.
* Experience working with students in a medical college or other professional education milieu.* Strong understanding of student records confidentiality, FERPA and related policies and process.
