Hours/Shift/Work Schedule: This position is a part-time position 30 hour per week over standard business hours; some evening and weekend work required. Some travel required.

The selected candidate will be responsible for coordinating an Alumni engagement program for a base of approximately 8,000 IMSA Alumni under the supervision of the Office of Public Affairs.

The internationally recognized Illinois Mathematics and Science Academy® (IMSA) develops creative, ethical leaders in science, technology, engineering and mathematics. As a teaching and learning laboratory created by the State of Illinois, IMSA enrolls academically talented Illinois students (grades 10–12) in its advanced, residential college preparatory program. It also serves thousands of educators and students in Illinois and beyond through innovative instructional programs that foster imagination and inquiry.

    • Serve as lead contact/liaison for the IMSA Alumni Association and IMSA Black Alumni Association. 
    • Develop and originate alumni events, activities and programs, including virtual and in-person, including, but not limited to: the Reunion Weekend, Alumni Awards, career panels and regional Alumni events.
    • Work collaboratively with other areas of the Academy to recruit alumni for mentoring, speaking, internship/job shadowing, networking and other academic and non-academic opportunities.
    • Administer and manage engagement via IMSA Alumni Networking Software platform.
    • Manage the annual Board of Trustees Distinguished Alumni Award program, including nominations, selection, promotion of winners and the assembly event.
    • Reach out to Alumni and build one-on-one relationships through personal outreach.
    • Proactively seek new and updated information about IMSA alumni and capture data and information in Raiser’s Edge software for institutional advancement and reporting purposes.
    • Create content for Alumni communications, including monthly newsletters, e-mails and social posts and collaborate with Senior Communications Manager and Graphic Designer for support.
    • Other duties as assigned.
  • Bachelor’s degree with three (3) years of professional experience in alumni relations, higher education or program development required.
  • Experience with developing original programming for adult and student populations, both in person and in virtual environments.
  • Alternate experience in student relations, communications, marketing or similar function may be considered for hire.
  • Experience with programming for diverse populations.
  • Strong commitment to the values and purposes of IMSA.
  • Strong understanding of IMSA’s closest constituencies, their motivations and needs.
  • Excellent interpersonal skills with ability to establish, build and sustain strong relationships. 
  • Excellent written and verbal communication skills.
  • Exceptional problem-solving skills with the ability to be creative, innovative, flexible and decisive.
  • Excellent project and event management skills, including keen attention to detail.
  • Experience in recruiting, organizing and managing volunteers.
  • Demonstrated ability to work well with a variety of individuals and diverse populations.
  • Ability to use good judgment and discretion with confidential information.
  • Ability to work independently, resolve issues, seek help when needed, and work on concurrent projects.
  • Workplace experience using WordPress and social media, including Facebook, LinkedIn, YouTube, and Twitter.
  • Experience with virtual platforms, including Zoom.
  • Experienced user of common computer hardware (e.g. laptops), office productivity software (e.g. Microsoft Office, budget software), mobile devices (e.g. phone), and common peripherals (e.g. printers, others…)
  • Must possess a valid driver’s license.
  • Ability to work irregular schedules, including periodic evening and/or weekend hours.
  • Ability to travel as needed.

PREFERRED QUALIFICATIONS:The preferred qualifications for this position include:

  • Special event experience
  • Development experience in a higher education or specialized school setting
  • Experience using Blackbaud products Raiser’s Edge and NetCommunity Grow


Work is performed in an office setting with minimal exposure to health or safety hazards. Substantial time is spent working on a computer. While this is generally sedentary work which requires the following physical activities: sitting, finger dexterity, repetitive motions, talking, hearing and visual acuity.
