Job Summary
The Program Coordinator reports to the Senior Associate Secretary and is responsible for aspects of the work of the Board of Overseers, its standing committees, and the University's visitation process. The visitation process, entailing periodic reviews conducted by committees with relevant expertise, aims to provide informed, objective, and candid assessments of the University's various schools and departments and constructive advice on their future direction and development.

Job-Specific Responsibilities
The Program Coordinator will coordinate the visitation process for the Faculty of Arts and Sciences and a number of other Harvard units. In close coordination with a variety of University offices, FAS divisional and departmental faculty and administrators, and external visitors, s/he will:
  • Coordinate the activities of such committees, managing on average 10 to 15 visits per year, including agenda planning, scheduling and logistics, visitor travel, expense management, and ensuring necessary follow-up;
  • Serve as a liaison to a range of University constituents on their interactions with the committees and the visitation process, advising on committee structure, agenda development, and the preparation of materials in line with university policies and practices;
  • Working closely with the Senior Associate Secretary and team to identify, articulate, and document best practices for the visitation process and the work of the Board's standing committees, developing tools and methods to better track and manage various workflows.
In addition to the core duties in relation to the visitation process, the Program Coordinator will support the work of several standing committees of the Board of Overseers. S/he will more generally create and maintain documents and records, research visitation policies and practices, and produce reports from databases in relation to the visitation process, the work of the Board's standing committees, and other aspects of the work of the office.

In addition, the Program Coordinator will perform special projects and duties as required and will participate with colleagues in planning and carrying out the broader responsibilities of the Office of the Governing Boards.

Basic Qualifications
Candidates MUST meet the following basic qualifications in order to be considered for this role:

College degree strongly preferred, or an equivalent of education plus relevant business experience and five years of related experience.

Additional Qualifications and Skills
  • Proficiency with Microsoft Office Suite
  • Excellent attention to detail, strong written and verbal communication skills, and first-rate organizational skills are strongly preferred.
  • Facility with accessing and manipulating relational databases, and the ability to learn new software and systems.
  • The ability to implement project plans and complex schedules, balance multiple projects and tasks simultaneously, take initiative and work well independently, as well as collaboratively with a variety of internal and external constituents, are all desirable.
  • Discretion and diplomacy are important, as are collegiality, flexibility, and an appetite to explore changing approaches to traditional tasks.
  • Experience supporting senior leaders and an ability to develop strong relationships across complex organizations are highly desirable.
