POSITION SUMMARY

The Degree Completion Manager position in the Office of the Registrar is a member of the Compliance Team, reporting to the Associate Registrar for Compliance. This position is responsible for conducting the University’s degree clearance activities, and awarding degrees that ensure academic and institutional integrity bestowed on the Office of the Registrar by the Oregon State University President and Board of Trustees. Collaboration and communication are important aspects of this position for building and maintaining strong partnerships across the institution. Success in this position includes the ability to pivot quickly within an ever changing environment; comfort with ambiguity and flexibility are important. The Degree Completion Manager role is responsible for monitoring student degree completion statuses, leading a university-wide effort to improve the university’s degree completion rate, ensuring student success at Oregon State University.

POSITION DUTIES

45% MANAGEMENT OF DEGREE COMPLETION PROGRAM
Interprets academic and degree requirements and certifies completion of degree requirements and degrees with distinction (Latin honors). In consultation with associate registrar, uses professional judgment to solve graduation policy questions. Advises staff, students and faculty regarding graduation policies, university degree requirements, and academic regulations. Creates and conducts academic advisor training on institutional awarding, DegreeWorks, and other degree completion topics. Complies with, and adheres to, FERPA. Identifies antiquated, redundant, or inefficient processes and implements improvements in workflow and documentation. Monitors graduation-related forms and keeps them up to date. Provides reports to the associate registrar and university registrar, as needed. Maintains institutional awarding and diploma distribution timelines. Coordinates the production and release of diplomas.

20% TECHNICAL SUPPORT AND DATA REPORTING
Maintains functional expertise in DegreeWorks, the university’s degree audit and academic advising tool. Works with Office of the Registrar Technical Team to ensure that DegreeWorks is coded correctly in each year’s catalog. Coordinates testing of graduation-related functions during student information system upgrades. Provides support to academic units around Student Educational Plans, generating data for course planning and degree completion metrics. Develops standards, best practices, guidelines, and documentation for utilization of Student Educational Plans for colleges. Develops and improves data reporting to support degree clearance and degree completion analyses. Provides expert analysis and advising to key student success collaborators and other university partners regarding the data from Banner SIS, DegreeWorks, etc.

10% PROJECT MANAGEMENT
Manages large and complex long-term projects related to degree completion and strategic projects to improve the university’s 4- and 6-year graduation rates. Projects require particular emphasis on efficiency, stakeholder engagement, and communications. Responsible for analyzing and communicating project metrics and performance indicators to stakeholders.

10% SUPERVISION
Performs all aspects of supervision of Degree Completion Team including hiring, training, developing, assigning, and overseeing day-to-day work, evaluating performance, and as needed disciplinary actions. Assists employees in problem-solving complex issues.

10% OTHER DUTIES AS ASSIGNED
On occasion, assist other units within the Office of the Registrar with university programs and activities. Manages commencement activities related to preliminary diploma clearance. This includes managing weekly reports that require action from both students and advisors, communicating with advisors regarding preliminary grades for graduating students, and regularly monitor the diploma preparation process to keep all students’ records updated and accurate. Assist with the annual commencement ceremony.

5% PROFESSIONAL DEVELOPMENT
Attend regular team and Office meetings. Actively participate in all Office discussions, workshops, and retreats. Participate in university or professional organization staff development activities or conferences.

QUALIFICATIONS

Minimum/Required Qualifications
  • Bachelor’s Degree.
  • Two years’ experience in a registrar’s office.
  • A demonstrated commitment to diversity, equity, and inclusion.
  • Experience providing exceptional customer service, with the confidence to take action when critical situations arise.
  • Experience with a student information system (e.g., Banner, Colleague, Jenzebar)
  • Experience with a degree audit system (e.g., Degree Works, uAchieve, DARS)
  • Excellent written and verbal communication skills, including ability to communicate with administrative management and academic constituencies.
  • Experience with Microsoft Office Excel or another spreadsheet analysis tool, for the preparation of reports and presentations.
This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per OSU Standard 576-055-0000 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.

Preferred Qualifications
  • Ability to work within an environment where ambiguity and the ability to pivot quickly are commonplace.
  • Experience with Ellucian Banner.
  • Experience with Ellucian DegreeWorks.
  • Experience with enterprise data reporting system (e.g., Jaspersoft, Argos, Cognos).
