Job-Specific Responsibilities

Reporting to the Director of HR Programs and Communications, the HR Program Coordinator provides essential support to the FAS HR team, performing a wide range of administrative, analytical, and events-management duties to ensure the successful delivery of FAS HR processes, programs, and communications.

Primary duties include:
Events Coordination: Responsibilities include coordinating logistics for programs, events, and custom training sessions, including: finding and booking venues, ordering catering, and requesting A/V services; creating and sending invitations, event registration reminders, and tracking RSVPs; acting as primary contact for program/event registration; setting-up and breaking-down at events; coordinating and helping to produce program materials and presentations; creating and distributing program/event evaluations, and reporting on collected data. FAS HR events range in size from 25 people up to 200 people.

Data Management and Reporting: Manage large data sets to analyze data and create reports for FAS HR purposes. Provide support in collecting, reviewing, and organizing nominations for recognition opportunities, including FAS Dean's Distinction and Harvard Heroes. Utilize advanced excel skills to create and analyze confidential data reports for senior leaders.

FAS HR Website and Communications:
Works with the Director of HR Programs and Communications and HR Programs Manager to maintain and update the FAS HR website. Makes events-related updates to the FAS HR website including announcements,
webpage updates, and creating new content as needed. Makes other website updates as needed. Assists with FAS HR communications; serves as the department "document librarian" and tracks written versions of policies, guidelines, and other materials produced by the department.

The Program Coordinator will also provide high level administrative support to FAS HR program team, including drafting and editing correspondence and documents, creating and enhancing PowerPoint presentations, and Excel documents. Special projects as assigned.

Other Duties:
Act as back-up to the Executive Assistant for Associate Dean for Human Resources. Provides front desk coverage as necessary.

Basic Qualifications

Minimum of 3 years of administrative or event experience. Education beyond high school may count towards experience.

Additional Qualifications and Skills

BA/BS preferred, or equivalent of education plus experience in an office environment. Ability to handle complex and confidential information with discretion. Excellent interpersonal and communications skills required. Familiarity with Open Scholar and html, and the ability and desire to learn new technologies isstrongly preferred.Intermediate experience with Microsoft PowerPoint, Excel, and Word required.

This position requires a team player with a willingness and ability to work in a fast-paced, high-energy environment in person or virtually. Must have excellent client service, organization, and event management skills. Successful candidate will be highly motivated, organized, able to juggle multiple priorities, take initiative, and work in a team approach. Must be flexible, energetic, diplomatic, detail oriented, and able to work independently with minimal supervision.
