Position HighlightsThe Division Manager is a critical team leader in the Department of Medicine's Business Office. The overall objective of the Business Office is to provide operational and financial management support to 14 divisions and some 200 faculty within the Department of Medicine (DOM). This position plays a pivotal role as the liaison to their assigned Divisions and Centers, interacting with the faculty to manage all resources, including human and financial resources. This position requires great attention to detail, the ability to work in a fast-paced environment, excellent communication skills and the ability to work well with people.

Duties & Responsibilities
- Fiscal responsibility for assigned Divisions and Centers. This includes ensuring financial compliance and accuracy, budget development, expense management, and financial analysis.
- Time Approver for assigned Divisions and Centers.
- Act as the Division and Center liaison for personnel recruitment, salary and FTE changes, terminations and visas. Work with Department HR, Division, and Center employees to resolve personnel issues in assigned Divisions.
- Act as a liaison with the Division Chief, Center Director, and faculty. This includes attending monthly faculty meetings, meeting with the Division Chief, Principal Investigators (PI's), and other faculty, working with the Division Chiefs, PI's and faculty to resolve issues, completing special projects or reports, researching and answering questions as they arise; assisting in strategic planning, following-up on open items, including keeping leadership abreast of the financial status/issues in the Division or Center.
- Act as a liaison with the Clinical side of the Department. Attend regular meetings and work closely with the Banner Clinical Division Managers to facilitate and manage faculty distribution of effort (DOE) and Division needs.
- Support new faculty/PIs and staff with personal and laboratory moves in accordance to policies and procedures. For terminating PIs, will manage the transition plan which can include transferring of grants and/or equipment.
- Manage the day to day operational activities for assigned Divisions and Center. This includes monitoring the financial status of accounts, providing recommendations to the Center Director(s) or Division Chief regarding financial plans and expenditures, managing and maintaining the state budget, capital assets, and commitments.
- Act as the Center liaison for the College of Medicine Business Officer's meetings and listservs. Coordinate with Manager of Financial Operations to disseminate information and/or operationalize new processes directed by the College or the Institution. Coordinate with Manager, Financial Operations to establish Center policies and procedures that align with UAccess Systems. Implement appropriate internal controls and effective business practices for Center.
- Act as the Center liaison with UA and Sponsored Projects Services in the event of an audit.
- Approve research proposals on behalf of the Center.
- Lead assigned accounting team, including supervising Assistant Division Managers, to ensure that their day to day activities are being performed, ensure Department, Center, and institutional deadlines are being met, and ensure that Division and Center staff have the resources and tools that they need to be productive; see that additional training is provided to support staff when needed.
- Take ownership of issues and concerns to identify and evaluate alternative solutions. Provide guidance regarding interpretation and implementation of state, federal, university, and departmental policies and procedures.
- Provide oversight for UA inventory and records retention (archiving) process for the Center.
- Prepare Center and Division UA All Funds Budget.
- Assist DOM administration with special projects.
- Minimum of 5 years of related work experience, including 2 years of managerial experience, or equivalent combination of education and work experience.
- Generally requires a Bachelor's degree (Business Administration, Healthcare Administration, Accounting).
- At least five years of experience interpreting business policies and procedures.
- At least five years of experience with budgeting, planning, reporting and business systems.
- At least five years of experience working with federal awards and sponsor requirements including operationalizing grants, working with complicated funding plans due to grant activity, and working with cost share.
- At least five years of experience using Microsoft Access, Excel, and Word.
- At least five years of experience managing state, discretionary, sponsored and gift funds.
- At least five years leadership experience managing employees.
- General knowledge of accounting practices, procedures and generally accepted accounting principles.
- Desire and ability to work in a fast pace environment with changing demands.
- Ability to communicate effectively in a team environment, including strong verbal and written communication skills.
- Ability to set and communicate priorities effectively and plan the work of the team.
- Ability to lead a team, setting an appropriate example, managing stressful situations and managing change, while fostering teamwork.
