The Administrative Support Assistant position provides guidance to prospective or current students and parents on the admission, financial aid, and enrollment process of the School of Music. Provides in-take services; responds to direct requests from individual applicants, parents, and counselors through phone, email, and in person visitors to the School of Music. In consultation with faculty and administration, evaluates applications to determine eligibility for admission, financial assistance, or visa status based on established policies and criteria. Executes paperwork when cases should be referred for possible exceptions to policies. Prepares and presents reports and analyses of enrollment trends, student aid, and enrollment services statistics. Participates, when possible, in functions for visiting students, parents, or guidance counselors providing a more personalized approach to the University admissions activities in all areas.

In addition, this position maintains the redesigned School of Music websites, including development of new functionality, content updates, style and layout, and accessibility. Writes and contributes editorial content for event/concert description, brochures, articles, newsletters, and other internal or external communications. Edits and proofreads publications, including website, advertisements, articles, brochures, feature stories, photographer credit, etc. Provides support for various projects related to recruitment, multimedia, marketing, communications, and public relations strategies that may include direct mail, advertising, web, email, social media, news media, special events, and other methods. May serve as the lead point of contact for unit websites.

Maintains database for a large scholarship portfolio. Prepares incoming freshmen scholarship offer letters and tracks paid accepts through matriculation. Uploads funds to the student account via the Office of Student Aid External Load Intranet site for the incoming freshmen. Pulls eligibility lists for the Administrative Coordinator and the School of Music Director, utilizes eSteward to disperse funds, generates award letters and sends to the students.

Administrative duties include serving as back-up to key distribution, daily office support, assisting the director, assistant/associate directors, and the administrative coordinator in special projects. Candidate should have experience in, or be willing to learn, ACCEPTD (admission platform), WordPress and Microsoft Office Suite.

Typically requires a High School Diploma or higher plus 3 years of experience, or an equivalent combination of education and experience.

This position requires the following clearances: PA State Police Criminal Background Check, PA Child Abuse History Clearance Form, and Federal (FBI) Fingerprint Criminal Background Check.
